The Program Coordinator (Undergraduate) at SickKids Hospital coordinates and supports many aspects of the Undergraduate Program in the Department of Paediatrics, ensuring adherence to the University of Toronto MD Program standards. The role is responsible for coordinating all learning activities, assessment, and academic credit requirements in Paediatrics for medical students in all years of training. The Program Coordinator will also coordinate Departmental activities as they relate to medical students and act as a resource for faculty members and students, providing guidance in response to inquiries and referrals to other individuals or resources as required.
Here's What You'll Get To Do
Provides student services/support by:
- Providing detailed information to students on program and/or course requirements
- Ensuring students meet the requirements for course completion and academic promotion
- Keeping well-informed on changes to courses, program requirements, policies and procedures
- Verifying the accuracy and completeness of information
- Liaising with students and faculty to coordinate program activities
- Coordinating program schedules with key collaborators
- Receiving and passing on evaluation materials for review
- Ensuring Faculty follow medical education requirements, guidelines, and procedures
- Recruitment, appointment and credentialling of faculty for teaching
- Coordinating examination timetables
- Collecting and submitting grades
- Maintaining course information on student information systems
- Organizing, summarizing and circulating program and/or course evaluations
- Providing detailed explanations to instructors/preceptors on how to administer course evaluations
- Resolving issues within the scope of the role and escalating problems as required
- Disseminating program information
- Identifying and introducing variations to established administration processes
- Checking that program requirements are complete
- Liaising with partners to support initiatives
- Keeping well-informed on Hospital and University programs, policies and procedures
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Resolving minor complaints within the scope of the role and referring larger issues when appropriate
Provides Administrative Support By
- Coordinating tasks for projects and other strategic initiatives with stakeholders
- Determining logistical details and activities for events and/or programming
- Taking and distributing meeting minutes
- Coordinating course schedules
- Coordinating meeting schedules, agendas, materials, action and follow-up items
- Organizing, summarizing and circulating program and/or course evaluations
- Editing content for brochures, newsletters, websites and/or handbooks
- Maintaining information on digital platforms and/or printed materials
- Writing routine documents and correspondence
- Documenting and maintaining standard operating procedures
- Disseminating and collecting surveys and questionnaires
- Maintaining information in databases
- Exchanging information at formal department and/or program committee meetings
- Supporting the Program Director in calendar and communications management
Provides Records Management By
- Collating and organizing data for various reports
- Generating reports
- Updating and maintaining records
- Handling sensitive and/or confidential information
Prevents Injury And Harm To Others By
- Providing basic support and general referrals to individuals in distress
Accomplishes Financial Responsibilities By
- Verifying the accuracy of invoices
- Making minor purchases
- Collaborating on cost estimates
- Collecting and submitting expense reimbursement claims
- Payroll for Summer Research program students
- Collaborates with other medical education administrative team members
- Serving as a resource to others by providing (non-supervisory) job-related guidance
- Sharing tasks and cross-covering colleagues as required
Here's What You'll Need
- Administrative degree or diploma program or equivalent experience
- 5+ years of senior administrative experience in education and health care; medical education is a plus
- Proficient with Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Forms, SharePoint), Office 365, Teams, and Zoom
- Experience in financial reporting, budgeting, and analysis
- Knowledge of Articulate 360 Rise is beneficial
- Excellent interpersonal and communication skills
- Detail-oriented
- Strong time management and ability to meet deadlines
- High level of judgment, tact, and diplomacy with students, administrators, and faculty
- Ability to handle a fast-paced work environment with interruptions and multiple priorities
- Exceptional organizational skills for self and team management
- Work well both collaboratively and independently
- Demonstrated commitment and actions in advancing equity, diversity, and inclusion objectives
