Travel: There currently is no travel involved in the position; however, there is a potential for future travel.

Existing Vacancy: Yes – we’re currently hiring candidates for an existing vacancy in this position.

This is not a remote role - 5 days a week working in the office.

Job Summary:

The Administrative Coordinator serves as the first point of contact for the day-to-day operations of the office, assisting the SMILE Program Manager with daily tasks. The role involves collaborating with team members and community support agencies to maintain current information and data. The Coordinator supports the Manager(s) and leads the daily operations within the framework of VON policies, standards, and quality management.

Key Responsibilities:
  • Ensure cost-effective client services and programs.
  • Assess clients’ service needs, monitor delivery, and contribute to program development and evaluation.
  • Develop and implement program plans to meet departmental needs.
  • Manage volunteers and staff, including volunteer orientation, training, and in-services, aligned with VON Quality Management standards.
  • Maintain engagement with clients and health partners to ensure programs meet community needs.
  • Serve as a primary support contact among clients, health professionals, community partners, and team members.
  • Track and report program outcomes and team efforts to supervisors and stakeholders.
  • Support financial accountability by managing program budgets.
  • Create and review financial and statistical reports for VON and funder requirements.
  • Conduct Disaster and Emergency Drills as per VON policies.
  • Participate in multidisciplinary meetings as needed.
  • Adhere to VON’s quality and risk management frameworks and Occupational Health and Safety legislation.
  • Participate in health and safety training, including WHMIS, and apply this knowledge workplace-wide.
  • Report workplace incidents promptly in accordance with legislation and policies.
External and Internal Relationships:
  • Communicate promptly with clients and community partners.
  • Maintain timely communication with internal staff.
Education, Designations, and Experience:
  • Post-Secondary Diploma in Health/Social Science or equivalent qualifications.
  • 2-3 years of related community and health care experience.
  • 1-2 years’ experience in program planning and evaluation (asset).
  • Experience in volunteer administration (asset).
  • Understanding of not-for-profit healthcare environment (asset).
Skill Requirements:
  • Commitment to confidentiality and discretion.
  • Knowledge of social and healthcare networks and community resources.
  • Excellent oral and written communication skills.
  • Ability to work independently and in a team.
  • Strong organizational and multitasking skills.
  • Customer service orientation.
  • Problem-solving skills and adaptability to changing priorities.
  • Proficiency in Windows OS and MS Office.
  • Attention to detail.
Other Requirements:
  • Personal vehicle, valid driver’s license, and proof of insurance.
  • Criminal Records Check (original and satisfactory).
  • Vulnerable Sector Search and/or Child Abuse Registry Check (may be required).
  • French language skills are an asset in designated areas.
  • Use of Personal Protective Equipment (PPE) may be required.
Working Conditions and Physical Demands:

This role requires attention to detail in a dynamic environment, involving physical activities such as lifting, carrying, bending, reaching, and kneeling, with good body mechanics. Tasks include walking, sitting, standing, climbing stairs, and fine hand movements.
