Summary:

The Program Coordinator will support the implementation and operation of key programs by assisting with logistical planning, coordinating resources, and tracking program activities. You will work directly with participants, staff, and community partners to ensure smooth delivery of services and ensure programs are reaching their goals. This position is ideal for a self-motivated individual who is detail-oriented, enjoys multitasking, and thrives in a collaborative environment.

Location: On-site

Project Management

· Oversee the coordination and delivery of programs and services

· Plan, schedule, and coordinate logistics for virtual and in-person program activities tailored to diverse audiences, including service providers and community members

· Facilitate training sessions as needed, applying knowledge of GIPA/MIPA, healthcare, and cultural safety principles to deliver effective workshops

Community Engagement

· Build and maintain collaborative relations with community partners to serve the needs of the community

· Maintain confidentiality of information regarding community members

· Promote monthly events and activities to increase participation via social media, flyers, postering and communication with local organizations

· Organize consultants, focus groups, and meetings to gather insights and strengthen the cultural safety and application of programming

Resource Development & Implementation

· Collaborate with staff, community members, consultants, community partners to create, review, and update program materials and resources

· Ensure programs and resources reflect culturally relevant perspectives, and address the unique needs and contexts of Canada’s populations

· Develop and maintain digital and print resources, incorporating community feedback to maintain cultural relevance and program integrity

Evaluating, Reporting & Documentation

· Track trends and changes within Ontario’s healthcare and social systems, including regulatory updates, to keep programming relevant and responsive to the needs of community members

· Conduct needs assessments and feedback analysis to guide program updates and identify emerging topics relevant to programming

· Make recommendations for program adjustments based on trends, participant feedback, and healthcare developments

Key Responsibilities:

Coordinate day-to-day activities of one or more programs, ensuring they run efficiently and on schedule.

Assist with program planning and implementation, ensuring alignment with the organization's goals and objectivesManage communication with program participants, staff, and external partners, providing support and information as needed.

Maintain accurate records of program activities, participant data, and outcomes.

Help track program budgets, including monitoring expenses and assisting with purchasing and procurement as needed.

Assist in the development and distribution of program materials, reports, and communications.

Coordinate the recruitment, scheduling, and training of program volunteers or staff.

Collect and analyze feedback from participants and stakeholders to assess program effectiveness and areas for improvement.

Support the preparation of reports and presentations on program activities and outcomes for internal and external audiences.

Assist with special projects or events related to program implementation and fundraising efforts.

Deliver engaging workshops to community organizations and service providers, followed by collecting insights through surveys, interviews, or structured feedback, as needed.

Monitor and maintain program supply inventory, and support procurement processes to ensure timely acquisition of materials and resources.

Represent the organization at external events or conferences, including sharing program data, facilitating presentations, and building relationships with sector partners.

Qualifications:

Bachelor’s degree in social sciences, nonprofit management, or a related field (or equivalent experience).

At least 1-2 years of experience in a coordinator or administrative role, preferably in the nonprofit sector.

Strong organizational and time-management skills, with the ability to handle multiple tasks and deadlines.

Excellent written and verbal communication skills.

Ability to work independently, as well as collaborate effectively with a team.

Proficiency in Microsoft Office Suite and experience with database management or tracking tools.

A passion for social impact, community service, and supporting underrepresented populations.

Experience with data entry, reporting, and/or program evaluation a plus.

This position involves frequent travel within Ontario and may require occasional out-of-province travel for events, workshops, or conferences.
