Job Summary: The Coordinator is responsible for supporting the Grief & Bereavement Care program and its Manager(s). They provide leadership and coordinate daily operations within the framework of VON policies, standards, and quality management. The Coordinator should have knowledge of an Arts media (visual arts, music, dance, etc.) as an approach to therapeutic activities. The role supports clients and other hospice programs locally.

Key Responsibilities:

  1. Ensure cost-effective client services and programs.
  2. Assess client needs, monitor service delivery, and contribute to program development, evaluation, and promotion.
  3. Develop and implement program plans to meet department needs.
  4. Manage volunteers and staff, including volunteer orientation, training, and in-services, adhering to VON standards.
  5. Engage regularly with clients and health partners to meet community needs.
  6. Serve as a primary contact between clients, health professionals, and community support.
  7. Track and report on program outcomes and team efforts to supervisors and stakeholders.
  8. Support financial accountability by maintaining program budgets.
  9. Create financial and statistical reports for VON and funders.
  10. Complete Disaster and Emergency Drills as per VON policy.
  11. Participate in multidisciplinary meetings.
  12. Follow quality and risk management frameworks and health and safety legislation.
  13. Participate in health and safety training, including WHMIS, and ensure workplace incident reports are filed timely.
  14. Recruit clients into Arts Therapy support streams.
  15. Organize and facilitate therapeutic activities and community sessions.
  16. Build positive relationships within the organization, with clients, staff, and the community.
  17. Evaluate art-based interventions to ensure stakeholder needs are met.
  18. Maintain standardized documentation and record-keeping practices.

External and Internal Relationships:

  • Communicate promptly with clients and community partners.
  • Maintain timely communication with internal staff.

Education, Designations, and Experience:

  • Post-secondary diploma in health/social science or equivalent.
  • 2-3 years in community and health-based care.
  • 1-2 years in program planning and evaluation (asset).
  • Volunteer administration experience (asset).
  • Experience in not-for-profit healthcare (asset).

Skill Requirements:

  • Commitment to confidentiality and discretion.
  • Knowledge of social and healthcare networks and community resources.
  • Successful completion or qualifying status in art therapy (visual arts, music, dance) from a recognized program (asset).
  • Ability to lead, manage, and motivate clients; foster engagement and innovation (asset).
  • Event planning and group facilitation experience.
  • Experience working with children and teens experiencing grief (asset).
  • Knowledge of regional agencies and organizations.
  • Excellent communication skills.
  • Ability to work independently and in teams.
  • Strong organizational skills with multitasking abilities.
  • Customer service skills.
  • Problem-solving skills and adaptability to changing priorities.
  • Proficiency in Windows OS and MS Office.
  • Attention to detail.

Other:

  • Must have a personal vehicle, driver’s license, and proof of insurance.
  • Current satisfactory Criminal Records Check.
  • Vulnerable Sector Search and/or Child Abuse Registry Check may be required.
  • French language skills are an asset in designated areas.
  • Use of PPE may be required.

Working conditions involve physical activity, including lifting, bending, reaching, and walking. Tasks may require fine hand movements.
