Detailed Description

The Royal College partners and collaborates to lead the evolution of specialty medical education and standards; support specialist physicians, learners and teams to continuously improve; and advocate for excellence in specialty medicine by supporting innovation, well-being, equity and person-centered care. We are a national, nonprofit organization established in 1929 by a special Act of Parliament to oversee the medical education of specialists in Canada.

Reporting to the Manager of Exam Delivery and working closely with the Program Manager, Appeals and Accommodations, the Program Coordinator, Appeals and Accommodations, provides administrative and operational support. This includes program administration and development, planning and workflow coordination, and the execution of specific operational tasks that support the Royal College’s examinations business operations.

Here’s an insight into your typical day to day :

  • Maintains program database and communicates with parties (i.e. Candidates) by responding to inquiries and disseminating program-related information.
  • Organizes and maintains program files in electronic systems (e.g. Outlook, SharePoint). Compiles and disseminates sensitive and / or confidential program documents and information to relevant parties.
  • Reviews requests or cases of a non-standard nature within the program area exercising judgement and initiative in applying guidelines, reviewing precedents, and analysing results to address non-standard issues or make recommendations (Credentials Deferral of Examination Eligibility, Credentials Reconsideration of a Ruling, ‘No Further Eligibility’,’ Credentials Appeal of Decision).
  • Prepares comprehensive program materials for Program Manager as well as for Legal Counsel review (internal and external)
  • Prepares materials and documentation to support reporting on program activities to management and committees. This involves attending meetings, taking minutes, interpreting, and synthesizing discussion and preparing briefing notes, reports, data, and related statistics for presentation purposes.
  • Reviews program-related requests and gathers necessary information. Works with the Exams team to coordinate accommodation logistics for live examination events which may include providing orientation or guidance to examiners and candidates. Monitors live examinations to ensure accommodations are met.
  • Maintains detailed program logs for actions associated with requests and accommodations. This involves compiling and synthesizing sensitive program information from various data management systems (e.g. RISR). Drafts necessary program correspondence such as accommodation letters and tracking the status of requests.
  • Performs regular Quality Assurance activities focused on data accuracy. Supports quality improvement initiatives in appeals and accommodations by identifying areas for enhancement and contributing to the review and analysis of program processes

Does this sound like you?

  • College degree or diploma in business administration, law, education, or other related field.
  • 3 years of related experience in a coordination or program support role.
  • Experience working with accommodations, appeals or compliance related processes.
  • Familiarity with exam administration, education / testing environments or regulatory compliance.
  • Experience with disability or accessibility programs and familiarity with related legislation.
  • Experience in environments requiring legal oversight or input.
