Job summary

Kensington Health is seeking a Program Coordinator to design and deliver therapeutic, recreational, and educational programs for older adults and adults with disabilities. You will coordinate activities across multiple community sites, track attendance, and maintain documentation while ensuring a welcoming, inclusive environment.

You will collaborate with staff, volunteers, and community partners, manage logistics, and support virtual programming as needed.

Qualifications

  • Two years in community services, seniors’ services, recreation, social services, or health care.
  • Experience supporting older adults and/or adults living with disabilities.
  • Experience coordinating programs, activities, events, or volunteer services.
  • Experience maintaining documentation and program statistics.
  • Knowledge of community resources; referral pathways is a plus.
  • Experience using AlayaCare or similar client management software is an asset.

Job Overview

Regular Schedule: Every Wednesday (7.5 hours) plus additional flexible hours scheduled based on operational requirements.

Reporting to the Manager, Community Care, the Program Coordinator supports older adults and adults living with disabilities through the delivery of person‑centered programs and services that promote social connection, independence, wellness, and quality of life. The Program Coordinator is responsible for planning, facilitating, and evaluating a diverse range of therapeutic, recreational, educational, and social programs across multiple Kensington Health community sites.

Working both independently and collaboratively, the Program Coordinator provides direct member support, monitors participant wellbeing, manages attendance and documentation, coordinates volunteers and community partners, and responds appropriately to changing member needs. This role requires strong judgment, adaptability, and the ability to foster a welcoming, inclusive, and safe environment for all participants while supporting the operational needs of the program.

Responsibilities
Program Planning and Delivery
  • Plan, coordinate, and facilitate therapeutic, recreational, educational, cultural, and wellness‑based programming that supports member engagement and wellbeing.
  • Adapt programming to meet the diverse physical, cognitive, emotional, and social needs of participants.
  • Lead group activities, presentations, special events, outings, and community initiatives.
  • Evaluate program effectiveness through participant feedback, attendance trends, and observation.
  • Develop innovative programming opportunities that align with member interests and organizational goals.
  • Support virtual and hybrid programming as required.
Member Support and Engagement
  • Build positive therapeutic relationships with members and foster an inclusive, welcoming environment.
  • Monitor participant wellbeing and identify changes in physical, cognitive, emotional, or social functioning.
  • Provide assistance, support, and referrals to internal and external resources as appropriate.
  • Promote social inclusion and meaningful engagement for individuals experiencing isolation or vulnerability.
  • Support members during transitions, crises, and changing care needs while maintaining dignity and respect.
Program Operations and Administration
  • Maintain accurate attendance records, participant documentation, reports, and program statistics using electronic documentation systems.
  • Track program outcomes and contribute to quality improvement initiatives.
  • Coordinate room bookings, supplies, transportation arrangements, meal service requirements, and event logistics.
  • Manage petty cash, program purchases, and receipts according to organizational procedures.
  • Assist with membership administration and participant registration processes.
  • Support promotional activities including newsletters, calendars, posters, and community outreach initiatives.
Volunteer and Community Partnership Coordination
  • Support the orientation, scheduling, and day‑to‑day coordination of volunteers.
  • Foster positive relationships with community organizations, students, vendors, and external partners.
  • Assist with special events, community engagement initiatives, and partnership activities.
  • Provide mentorship and guidance to volunteers while ensuring adherence to organizational policies and procedures.
Safety, Risk Management, and Professional Practice
  • Maintain a proactive presence to identify and address safety risks involving participants, volunteers, and staff.
  • Respond appropriately to emergencies, incidents, behavioral concerns, and health‑related situations.
  • Complete incident documentation, follow‑up activities, and required reports.
  • Follow infection prevention and control practices and all organizational health and safety procedures.
  • Maintain confidentiality and safeguard participant information.
  • Participate in ongoing training, quality improvement activities, and professional development opportunities.
Qualifications
Required Skills and Abilities:
  • Strong facilitation, interpersonal, and communication skills.
  • Ability to engage diverse populations using a person‑centered and anti‑oppressive framework.
  • Excellent organizational, planning, and time‑management skills.
  • Strong problem‑solving and decision‑making abilities.
  • Ability to work independently and collaboratively within an interdisciplinary team.
  • Strong documentation and computer skills, including Microsoft Office applications.
  • Ability to respond calmly and effectively during emergencies and crisis situations.
  • Demonstrated professionalism, empathy, and emotional intelligence.
  • Experience facilitating both physical and cognitive wellness activities is an asset.
  • Experience using Zoom and virtual engagement platforms is an asset.
Required Knowledge and Experience:
  • Minimum two years of experience in community services, seniors’ services, recreation, social services, or health care.
  • Experience supporting older adults and/or adults living with disabilities.
  • Experience coordinating programs, activities, events, or volunteer services.
  • Experience maintaining documentation and program statistics.
  • Knowledge of community resources and referral pathways is an asset.
  • Experience using AlayaCare or similar client management software is an asset.
Required Professional Designation/Certificate:
  • Diploma or Degree in Recreation Therapy, Gerontology, Social Service Work, Community Services, Recreation and Leisure Services, Therapeutic Recreation, Activation Coordination, or a related field.
  • CPR and First Aid Certification.
  • GPA, Gentle Persuasive Approaches, or crisis prevention training considered an asset.
