Job description

Marshall Canada is seeking a Program Coordinator to join our team in Ottawa, ON. Reporting to the Program Manager, Planning & Control, this role is responsible to plan and coordinate high-profile defense programs, fostering collaboration among stakeholders, ensuring strict adherence to schedules, and maintaining meticulous documentation and controls in a fast-paced environment.

You're responsibilities in the role:

  • Partner with program managers to develop, maintain, and update detailed project schedules and calendars using Microsoft Office 365 tools (e.g., Excel, Project) and other project management software.
  • Track project milestones, deliverables, dependencies, and risks, proactively identifying and mitigating potential delays.
  • Organize and facilitate program meetings (virtual and onsite), ensuring clear and effective communication and stakeholder engagement.
  • Compile, analyze, and present project metrics using data visualization tools (e.g., Power BI, Excel) to drive informed decision-making.
  • Prepare detailed project status reports, including schedule performance, resource utilization, and key performance indicators.
  • Maintain real-time program dashboards, ensuring accurate data entry and updates in project management tools.
  • Coordinate and document change requests, supporting the implementation of a robust change management process.
  • Ensure all project documentation is organized, compliant with defense standards, and audit-ready, conducting periodic audits to verify adherence and recommend corrective actions.
  • Facilitate clear and concise communication between internal and external stakeholders, providing regular updates on project status, risks, and resolutions.
  • Collaborate with IT, Data Analytics, and Operations teams to align project solutions with organizational objectives.
  • Leverage Microsoft Office 365 (e.g., Teams, SharePoint, Power Automate) and other technologies to streamline workflows, automate processes, and enhance team productivity.
  • Identify and implement innovative tools and technologies to improve project efficiency and decision-making.
  • Other duties as assigned by the Program Manager, Planning & Control

Apply if you have most of the following:

  • Bachelor’s Degree in Business Administration, Project Management, or a related field (or equivalent experience).
  • 5+ years of experience in program or project coordination, ideally within the defense, aerospace, or engineering sectors.
  • Advanced proficiency in Microsoft Office 365 (Excel, Project, Teams, SharePoint) is essential.
  • Demonstrated experience leveraging technology to optimize project processes and workflows.
  • Proficiency in project management tools (e.g., MS Project, Smartsheet) and familiarity with data visualization tools (e.g., Power BI).
  • Exceptional organizational and time-management skills, with a keen eye for detail and the ability to thrive in a fast-paced environment.
  • Ability to work autonomously and take initiative.
  • Strong communication skills, with the ability to collaborate effectively with cross-functional teams and stakeholders.
  • Knowledge of project management methodologies (e.g., Agile, Waterfall) is a plus.

Must be eligible to meet the requirements of export control regulations, including the Canadian Controlled Goods Program and Canadian government security requirements.
