The journey began when my daughter Poppy was born and my accessories no longer worked with my new life as a mom, I needed bags with pockets and organization that looked cool and had functionality. I couldn’t find it, so I decided to create it, and in 2015 Poppy & Peonies was born.

About the Role

As our Production Coordinator, you’ll be the driving force behind the seamless execution of all brand photoshoots at Poppy & Peonies. Reporting to the VP of Marketing, you'll own the planning, logistics, and execution of visual content production, ensuring every shoot is delivered on time, on budget, and aligned with our creative vision.

Responsibilities

  • Leading all logistics for photoshoots, including scheduling, call sheets, transportation, and timelines.
  • Sourcing and securing vendors such as studios, photographers, equipment rentals, and hair & makeup artists.
  • Managing samples and styling products — including steaming, organizing, and coordinating returns.
  • Creating and distributing pre-production materials like mood boards, shot lists, and production schedules.
  • Coordinating with creative, marketing, and product teams to align on shoot objectives and vision.
  • Acting as the point of contact on set to ensure smooth day-of execution and real-time problem-solving.
  • Maintaining a detailed production calendar and tracking shoot-related deadlines.
  • Overseeing post-shoot organization, including file delivery, asset management, and tracking usage rights.
  • Contributing to creative ideation and recommending new approaches informed by industry trends.
  • Supporting social media content capture and behind-the-scenes documentation when needed.

What You Bring to the Table

  • You have experience in shoot production, content creation, or creative operations—preferably in fashion, lifestyle, or ecommerce.
  • You are an excellent communicator and collaborator who can manage multiple moving parts with ease.
  • You have strong project management skills, with the ability to prioritize and pivot in a fast-paced environment.
  • You have experience managing timelines, budgets, and external vendors.
  • You are passionate about storytelling through visual content and bringing creative concepts to life.
  • You have an eye for detail and thrive in structured, well-organized workflows.
  • You are calm under pressure and proactive in solving day-of challenges.
  • Your background may include photography, styling, or creative direction (a strong asset but not required).
  • You are a team player who brings positive energy and a solutions-first mindset.

Location

  • This role is based in our Vancouver, Canada office and will be a mix of remote and in-person. Additionally, the position involves domestic and international travel for photoshoots, events, and team retreats.

Salary and Total Rewards

  • Annual Salary ranges from $70,000 - $80,000 CAD
  • 3 weeks of paid vacation per year
  • 5 additional flex days
  • Summer Fridays
  • $1,500 CAD annual health spending account
  • $250 CAD annual period & menstrual budget
  • $1,000 CAD annual allowance towards Poppy & Peonies product
  • $400 CAD home office setup allowance
