Are YOU our next Product & Project Coordination Specialist?
As the Product & Project Coordination Specialist, you are responsible for driving business process improvement initiatives within the Service Optimization department, supporting strategic projects assigned by the Senior Leadership team. You act as a trusted advisor to cross-functional teams, taking the time to understand their unique workflows, client service models, and the value they bring to the organization. Your ability to connect with people and inspire enthusiasm for change is critical, as you help teams embrace new systems and processes. You serve as a key liaison between the Service Optimization department and the IT Applications Support group, while also collaborating closely with various operational teams. While you do not have direct reports, your role demands strong influence and exceptional collaboration across departments and levels. You simplify complex ideas, align recommendations with business objectives, and use your negotiation and communication skills to gain stakeholder buy-in and foster lasting engagement in transformation efforts.

How YOU Will Make a Difference
- Analytical support for business enhancement projects, in the form of: data gathering, process mapping, stakeholder engagement, development of business cases, new process design, project documentation, development of training material and manuals, and communications.
- Administration tasks (meeting minutes, creating agendas, scheduling meetings, etc.)
- Support for project team and stakeholder meetings.
- Support for SharePoint, LMS, communications, implementation, and user adoption of new cross-departmental products.
- Data gathering and report creation.
- Cantrak System Support
- Act as a key liaison between the end user teams, the Program Management Office (PMO) and the IT Applications Support group.
- Complete Software Development testing to support various stages of the development processes, such as: QA testing prior to User Acceptance Testing (UAT), pre-release Smoke testing, etc.
- Vetting all Software HelpDesk bug/maintenance tickets prior to escalation to IT
- Ensure the accurate and timely flow of communication between the business and the Software Development team (BSA, Scrum Masters, and Developers).
- Escalate concerns and/or criticality conflicts to manager
- Other duties assigned by Senior Manager.
What YOU Bring To The Role
- Post-secondary education required
- 1+ years’ Project Management experience
- 1+ years’ experience with data analysis and reporting in Excel including with pivot tables and formulas
- 1+ years’ experience working closely with an IT team and demonstrated ability to translate technical and non- technical language
- Experience working with software solutions and development teams, understanding of technical architecture
- Experience performing software user acceptance testing
- CAPM designation preferred
- High attention to detail and excellent organization skills with the ability to prioritize multiple demands
- Good knowledge of MS Office and general computer skills
- Advanced analytical skills with ability to manipulate and depict data in meaningful ways
- Excellent knowledge of Excel including use of pivot tables and formulas
- Critical thinking and problem-solving skills
- Excellent communication skills – able to secure the buy-in and assistance of those who do not directly report to you
- Conflict Resolution skills & experience
