Job Overview
This transformative initiative aims to deliver operational and financial efficiencies to our user ministry partners and the public. Our work spans various procurement categories, including IT services, and involves collaborating closely with ministries to enhance processes and tools. We are seeking a dynamic, self-starting Procurement Project Coordinator ready to champion change and manage multiple project streams while engaging stakeholders effectively.
Key Responsibilities
- Project Management: Support planning, execution, and monitoring of projects within the category management initiative, ensuring alignment with government procurement policies and objectives.
- Documentation: Plan, coordinate, and prepare controlling documentation for procurement plans and processes.
- Communication: Develop effective communication processes to ensure project progress and issue reporting to all stakeholders.
- Procurement Activities: Support procurement activities including financial estimates, technical requirements, and contracting options.
- Additional Responsibilities: Assist the Project Delivery Manager with other procurement-related tasks as needed.
- Stakeholder Engagement: Coordinate and facilitate meetings with internal and external stakeholders to ensure effective collaboration.
- Procurement Process Assistance: Support end-to-end procurement processes, including market research, drafting documents, evaluations, and contract tracking.
- Process Improvement: Identify opportunities to enhance procurement efficiency and effectiveness.
- Training & Knowledge Sharing: Develop resources, presentations, and training materials to promote category management principles.
Skills and Qualifications
- Education & Experience: Diploma or degree in business administration, supply chain management, public administration, or related field. Relevant experience is an asset.
- Project Coordination: Ability to support multiple projects ensuring timely and strategic alignment.
- Communication Skills: Excellent interpersonal and communication skills for stakeholder engagement and training.
- Time Management: Proven ability to manage multiple priorities and deadlines.
- Presentation Skills: Experience in creating professional presentations and communicating with diverse audiences.
- Procurement Knowledge: Familiarity with public sector procurement policies and best practices is preferred.
- Attention to Detail: Strong organizational skills for accurate documentation and compliance.
- Technical Skills: Proficiency in Microsoft Office Suite and procurement software/tools.
