Job description

Procurement Specialist - 1 Year Contract

Supports the successful launch of new hotel properties by coordinating and executing procurement activities related to Operating Supplies & Equipment (OS&E). This role bridges the gap between internal teams and external stakeholders (Owner, developers, and suppliers) to ensure timely, brand-compliant, and cost-effective delivery of all OS&E items to new properties.

Key Accountabilities

Collaborate with Brand, Design, and New Openings teams to create, refine, and maintain comprehensive opening lists tailored to each new property.

Act as the primary procurement contact for Owners, developers, and third-party procurement agents, ensuring alignment on project scope, timelines, and brand standards.

Coordinate and manage the end-to-end purchase order review process.

Track procurement schedules, monitor order status, and proactively address any delays or challenges in the supply chain.

Oversee delivery and installation schedules to ensure OS&E items arrive on time and in full, ready for property opening.

Maintain accurate procurement documentation, budgets, and report for project stakeholders.

Ensure all purchased items comply with brand specifications and quality requirements.

Support the resolution of any discrepancies or issues arising from deliveries, damage, or supplier performance.

Provide regular status updates and reporting to internal teams and project stakeholders.

Respond in a timely manner to stakeholder requests

Prioritize workload to ensure delivery of projects within agreed SLA’s

Escalate vendor performance issues and recommend alternative suppliers.

Provide substitutions/ solutions in alignment with Design and meeting Brand standards

Prioritize procurement activities and allocate tasks across multiple openings.

Influences

Development and refinement of brand OS&E through feedback and sourcing insights.

Opening project timelines through procurement planning and proactive coordination.

Owners and developers experience via professional representation and issue resolution.

Key Metrics

New hotels open on time with full, brand-compliant OS&E installation.

Procurement activities stay within approved budget & schedule.

Strong partnerships developed with internal teams and external stakeholders

Proactive identification and mitigation of risks in the procurement process.

Key Skills & Experiences

Education

Bachelor's degree in a relevant field of work, or an equivalent combination of education and work-related experience

Experience

3-5 years of progressive work-related experience in procurement, preferably within the hospitality industry or a project-based procurement role.

Strong understanding of OS&E categories and brand standard requirements.

Excellent organization, communication, and stakeholder management skills.

Proficiency with procurement systems and Microsoft Office Suites.

Advanced PowerPoint, Excel and Smartsheet.

Ability to manage multiple concurrent projects and adapt to shifting priorities.

Knowledge of logistics and international supply chain considerations is a plus.

Procurement experience in large organization.

Capable of being part of a matrixed team in a project environment.

Demonstrated negotiations and influencing skills.

Location

This job is primarily remote. The selected candidate should reside in or near Toronto, Ontario, Canada.

The salary range for this role is $65,000 to $75,000.
