Job summary

OVERVIEW

Reporting to the Manager, Strategic Sourcing and Procurement, the Procurement Specialist supports assigned spend categories by coordinating contract renewals, executing low to medium dollar and complexity sourcing activities, and negotiating and finalizing lower-risk agreements. Working closely with Category Specialists and internal stakeholders, this role helps ensure procurement activities are completed on time, meet business requirements, and follow applicable policies and processes.

The Procurement department provides progressive and proactive services that help business areas achieve their objectives while balancing customer needs with applicable procurement and contract policies. The Procurement Specialist delivers practical, responsive support and demonstrates fairness, integrity, openness, and transparency in all procurement activities.

The Procurement Specialist receives overall direction and one-to-one mentoring from the Manager of Strategic Sourcing and Procurement. Material changes in scope, cost, risk, or stakeholder alignment are escalated to the appropriate senior resource.

WHAT YOU WILL DO
  • Coordinate assigned contract renewals with internal stakeholders, confirming current business requirements and supporting timely completion.
  • Execute low to medium dollar and low to medium complexity sourcing activities, including spot buys and selected requests for information, quotations, or proposals.
  • Request and assess vendor quotations, conduct market research, and compare year-over-year costs to support competitive pricing and informed recommendations.
  • Negotiate and coordinate low to medium-risk agreements such as non-disclosure agreements, contractor agreements, statements of work, and routine contract renewals.
  • Build effective working relationships with internal stakeholders and vendors, providing practical guidance on procurement processes, pricing, and contract terms.
  • Coordinate required reviews with Legal, Risk, Privacy, and other internal partners.
  • Monitor procurement systems and reports to identify upcoming contract expiries, renewals, and assigned sourcing activities, and follow up to keep work on schedule.
  • Work within established procurement and contract policies and procedures, escalating material scope, cost, risk, or stakeholder issues as appropriate.
WHAT YOU WILL HAVE
  • A bachelor’s degree, a supply chain management designation such as SCMP, CCMP, or CIPS, or an equivalent combination of education and relevant work experience.
  • A minimum of two years of experience in a sourcing specialist, buyer, purchasing, or procurement role.
  • Foundational knowledge of sourcing, contract renewals, quotation analysis, and core commercial terms and conditions.
  • Ability to analyze and summarize financial and contractual information, including year-over-year pricing and proposed increases.
  • Research skills to assess market pricing and support competitive purchasing decisions.
  • Clear written and verbal communication skills, with the ability to work effectively with internal stakeholders and vendors.
  • Sound organization and time‑management skills, with the ability to manage multiple renewals and sourcing activities and meet deadlines.
  • Professional judgment and the ability to recognize when an issue requires escalation or additional review.
  • Proficiency with Microsoft Office and the ability to learn and use procurement systems; experience with Coupa or a similar procure-to-pay platform is an asset.
  • A collaborative, service-oriented approach and a commitment to fairness, integrity, openness, and transparency.
