Job Summary
Under the overall direction of the Senior Procurement Officer - Bookstore, the Procurement Officer is responsible for managing procurement activities for the Bookstore at the Point Grey and Okanagan campus, ensuring cost effectiveness commensurate with quality. All activities shall be in accordance with the University’s standard practices and all municipal, provincial and federal laws. The incumbent will be expected to comply with a code of ethics and focus on sourcing products with a sustainable life-cycle.
Organizational Status
The Procurement Officer provides procurement support for the Bookstore and reports directly to the Senior Procurement Officer - Bookstore. Works closely with all levels of Bookstore management and employees, and establishes and maintains close working relationships with administration, management, staff, UBC community, students and suppliers.
Work Performed
The Procurement Officer works independently and proactively under the general direction of the Senior Procurement Officer - Bookstore. The main areas of responsibility include:
Consequence of Error/Judgement
As an ancillary, self-funded service, the Procurement Officer's decisions impact the efficiency of procurement systems, costs, legal compliance, and the reputation of the Bookstore and UBC. Poor analysis or inaction can lead to increased costs, legal issues, and reputational damage.
Supervision Received
Reports to the Senior Procurement Officer - Bookstore and works closely with management and staff. Works independently within established policies, with work reviewed for judgment and contract management.
Supervision Given
May oversee temporary or support staff.
Minimum Qualifications
University degree in a relevant discipline plus 2-3 years of related experience, or equivalent combination. Demonstrates commitment to diversity, equity, and inclusion.
Preferred Qualifications
Degree in business or related field, procurement experience, SCMP or related certifications, effective communication skills, proficiency with software, and ability to manage multiple priorities. Experience with Workday or Optimum Control is an asset.
People & Relationship Management Skills
Strong relationship-building, negotiation, and customer service skills. Ability to motivate, influence, and work collaboratively.
Procurement Skills
Knowledge of procurement principles, university policies, and public procurement experience is preferred. Experience in retail, food, or maintenance procurement is an asset.
