Job Summary & Requirements

Position Summary

The Procurement Analyst is responsible for the procurement of all IT equipment, receiving of the equipment, inventory management, processing work through the IT Service Management system, coordinating quote requests, facilitating the solutioning of equipment requirements and procurement activities, and facilitating the standardization of stock items (e.g., keyboards, mice, headsets, etc.). Additionally, the Analyst will be responsible for purchasing parts and equipment for medical devices.

The Analyst works directly with employees and customers through phone, e-mail, ticketing system, and in person. They identify, research, and resolve procurement requests, relying on established policies and procedures to perform many functions of the job and escalate as required. The Analyst will also support the Senior RDH Vendor & Contract Specialist with high-value procurement requests and manage all equipment or hardware purchase requests submitted through the service desk. Responsibilities include inventory management, RFQs, leveraging various sourcing strategies in accordance with BPS guidelines, and ensuring delivery and receiving of equipment.

The Procurement Analyst will collaborate with various departments, including marketing, IT, and customer service, to ensure seamless procurement processes and effective communication. They will develop expertise in the use of procurement systems and train others as appropriate. The Analyst will also develop protocols for procurement activities in collaboration with physicians and network partners.

Qualifications

Education:

  • Community College diploma, 3 years with focus on computer science or equivalent
  • Undergraduate degree in information and technology, computer sciences and/or technology engineering
  • ITIL v4 Foundations, A+ Certification, Network+ or MSSE Certification highly desired and/or
  • Courses in procurement and supply chain management
Experience:

  • 2 years experience in supporting / managing technology vendors
  • 4 years experience providing IT Service Management
  • 5 years experience in the procurement of technology equipment and software
Competencies:

  • Exceptional customer service skills, and ability to communicate effectively with strong interpersonal skills
  • Proficiency with computer hardware, desktop software, and IT equipment
  • Proficiency with computer troubleshooting, analysis, critical thinking and problem solving
  • Strong understanding of the Microsoft 365 suite of applications, specifically Microsoft Teams, Outlook & SharePoint
  • Strong understanding of BPS procurement guidelines
  • Excellent analytical and problem-solving skills with thorough attention to detail
  • Aptitude and ability to learn multiple applications and systems
  • Experience with telecommunications and IT infrastructure vendor interactions
  • Ability to work with external vendors for support and service
  • Ability to effectively communicate via telephone and email
  • Knowledge of networking configurations, installation, and maintenance
  • Professional and effective presentation skills
  • Ability to quickly adapt to advancing technologies and procedural changes in a fast-paced environment
  • Attention to detail, exceptional documentation and organizational skills are critical
  • Familiarity with commonly used concepts, practices and procedures within the Information and Technology Field
Responsibilities

Technology Procurement

  • Monitor all procurement requests submitted through the ITSM Ticketing solution
  • Follow up on approvals for spend and budget availability
  • Work with various suppliers to ensure best price and availability of equipment
  • Process orders through Plexxus ordering system
  • Ensure delivery and receiving of equipment
  • Procurement of cellular devices, accessories, and plans
  • Facilitate the standardization of stock items (e.g., keyboards, mice, headsets, etc.)
Biomedical Equipment Procurement

  • Monitor all procurement requests submitted through the BioMed ticketing solution
  • Follow up on approvals for spend and budget availability
  • Process orders through Plexxus ordering system
  • Purchase parts and equipment for medical devices
Vendor Management Support

  • Support Senior Specialist with RFQs
  • Organize vendor performance calls (for strategic vendors)
  • Issue performance reports
