Job summary

Billyard Insurance Group (BIG) is a leading Canadian insurance brokerage with a strong regional footprint. We are seeking a Processing Administrator to ensure documents, transactions, and communications are processed accurately within our broker management system.

You will work with the Processing Manager and team to maintain data integrity, handle daily tasks, manage emails, and support renewals and policy reviews. Strong attention to detail and MS Office proficiency are essential.

Qualifications

  • Must demonstrate exceptional attention to detail and accuracy when handling documents and data.
  • Strong organizational skills and ability to manage multiple tasks in a fast-paced environment.
  • Proficiency with Microsoft Office and ability to learn new software quickly.

Responsibilities

  • Process daily electronic and physical insurance documents with accuracy and efficiency.
  • Sort, review, scan, and maintain insurance documentation within the broker management system.
  • Monitor and manage processing-related email correspondence and ensure inquiries are addressed promptly.
  • Coordinate broker cheque processing and prepare documentation for timely distribution.
  • Maintain organized electronic records to support compliance and operational efficiency.
  • Assist with monthly renewal inspections and policy reviews.
  • Support reporting and administrative activities within the Processing Department.
  • Identify opportunities to improve processes and contribute ideas for efficiency.

Working closely with the Processing Manager and internal insurance professionals, you'll help maintain the integrity of our broker management system, support daily operations, and ensure documentation and transactions are completed accurately and on time. Your attention to detail and organizational skills will help create efficient workflows that support our brokers and ultimately deliver outstanding service to our clients.

What does the Processing Administrator do?
  • Process daily electronic and physical insurance documents with accuracy and efficiency.
  • Sort, review, scan, and maintain insurance documentation within our broker management system.
  • Monitor and manage processing‑related email correspondence, ensuring inquiries are directed and addressed promptly.
  • Communicate with insurance brokers to obtain missing documentation and resolve processing discrepancies.
  • Review incoming electronic transactions, identify potential errors, and take appropriate action.
  • Coordinate broker cheque processing and prepare documentation for timely distribution.
  • Maintain organized electronic records to support compliance and operational efficiency.
  • Assist with monthly renewal inspections and policy reviews.
  • Support reporting and administrative activities within the Processing Department.
  • Identify opportunities to improve processes and contribute ideas that enhance efficiency and service delivery.
  • Collaborate with team members across departments to support shared goals and a positive workplace culture.
  • Participate in ongoing learning and training while supporting the onboarding of new team members as needed.

Required
Qualifications
  • Secondary school diploma or equivalent.
Assets
  • Post‑secondary education in Business Administration, Office Administration, Finance, Insurance, or a related field.
  • Previous administrative experience in a professional office environment.
  • Experience with Direct Bill Processing or exposure to the insurance industry is considered a strong asset.
  • Strong computer skills, including proficiency with Microsoft Office.
  • Excellent data entry accuracy and organizational skills.
  • Ability to learn new software and business systems quickly.
