Key Duties & Responsibilities

  • Provide onsite leadership and oversight of the veterinary healthcare team to maximize hospital performance.
  • Lead continuous improvement in customer service and medical care quality.
  • Ensure smooth communication during client visits; work with the Medical Director to resolve client concerns.
  • Oversee client communication such as welcome letters, sympathy cards, and newsletters, ensuring they follow protocols and timelines.
  • Implement team scripting, in-hospital marketing, and social media content to attract new clients, strengthen current relationships, increase referrals, and build community goodwill.
  • Meet client needs for timely veterinary care; track new clients, visit frequency, and achieve appointment and surgery fill rate goals.
  • Ensure the team has adequate resources to deliver exceptional patient care.
  • Understand and help manage the hospital’s financial drivers.
  • Maintain Cost of Sales within budget, manage inventory, and eliminate bulk ordering and expired goods.
  • Collaborate with the Regional Manager and Medical Director to review budgets and business plans.
  • Assist with sourcing and purchasing equipment and supplies.
  • Prepare and maintain financial, bookkeeping, and accounting reports.
  • Follow schedules, verify staffing needs, and ensure financial health supports staffing plans.
  • Act as a positive role model, fostering open, proactive, and cooperative relationships.
  • Recruit, mentor, and retain a high-performing team emphasizing accountability and morale.
  • Monitor key performance indicators and implement improvement plans as needed.
  • Ensure hospital initiatives are met on time; hold the team accountable.
  • Review data and reporting feedback; implement strategies to improve patient care and revenue capture.
  • Ensure fee schedules are current, revenue goals are met, and discounts are appropriate.
  • Utilize available resources to analyze operations and make effective decisions on assets, staffing, and conflict resolution.
  • Work with the Home Office to ensure compliance with standards, regulations, and training requirements (Employment Standards, CVO, AAHA, WHMIS, OHS, X-ray, etc.).
  • Provide coaching, development, and training to support team success.
  • Assist with reception duties when needed, including client intake, discharge, scheduling, and front office flow.

Education

  • Minimum two years of leadership experience in a veterinary or medical healthcare setting preferred.
  • Business administration training preferred.
  • In-depth understanding of Human Resources; experience leading and innovating practices preferred.
  • A vision for fostering an inclusive, employee-centric culture.
  • Experience developing strategic plans, resource forecasts, and managing budgets.
  • Experience with coaching, conflict resolution, and performance management.
  • Ability to build relationships at all levels.
  • Effective communication skills.
  • A progressive, strategic, humble, and achievement-oriented approach.
  • Excellent oral and written communication skills.
