Purpose
The Portfolio Administrator works closely with Relationship Managers to manage the overall client book, providing effective client service and supporting business development activities. This role aims to create capacity for Relationship Managers to focus on value-added client interactions. Additionally, the Portfolio Administrator supports operational excellence by reviewing and enhancing processes, practices, and execution methods. The role requires understanding the bank's risk appetite and ensuring all activities comply with regulations, policies, and procedures.
Major Accountabilities
Client Service
- Deliver consistent client experience aligned with PIC value proposition.
- Serve as the key contact for clients on behalf of Relationship Managers.
- Respond promptly and professionally to client inquiries, including cash management requests.
- Escalate issues as appropriate.
- Prepare client correspondence and reports.
- Support implementation of wealth strategies and manage portfolio administration tasks.
- Manage account opening and client onboarding processes.
- Prepare for annual client reviews.
- Maintain accurate client records.
- Review and improve client processes and experience.
- Follow up on documentation and utilize bank’s product knowledge to meet client needs.
- Partner with internal teams to ensure client satisfaction.
- Gather client feedback to identify opportunities.
- Execute service standards and respond to inquiries from clients and senior management.
- Resolve issues or escalate when necessary.
- Proactively address client needs.
Support Relationship Managers
- Customize client reports and support investment strategies.
- Assist in business planning and portfolio support for estate and trust portfolios.
- Maintain ongoing dialogue to understand client financial needs and monitor changes.
- Manage client data accurately using applicable systems.
- Demonstrate strong organizational skills.
Business Development
- Coordinate prospecting and development activities.
- Support marketing strategies and prepare meeting materials.
- Facilitate interactions between clients, prospects, and internal teams.
- Identify referral opportunities across business lines.
Risk Management/Compliance
- Ensure adherence to all regulatory and internal procedures, including privacy and anti-money laundering.
- Support portfolio management in line with firm strategy and risk appetite.
- Participate in compliance activities and policy updates.
- Report unusual or suspicious activities as required.
Team Membership

Education/Work Experience/Designations
- University Degree or College Diploma in Business, Economics, Accounting, Finance, or equivalent.
- CSC designation, industry experience, or investment management knowledge is an asset.
- Minimum two years of industry experience.
- Strong relationship management and support skills.
- Excellent interpersonal, communication, and listening skills.
- Goal-oriented, self-motivated, and disciplined.
- Proficient in financial planning and familiar with Scotia Wealth & PIC products and services.
- Knowledge of bank products and services for client referral opportunities.
