Title: Port of Entry (POE) Program Coordinator

Location: YMCA Centre for Immigrant Programs

Position Status: Full-Time

Compensation: $55,000 - $57,000 per year

About The Role

The Port of Entry (POE) Coordinator leads the operations and service delivery functions of the POE program with a focus on team effectiveness, achievement of outcomes, and the evaluation of services in a seamless and integrated manner. This role works closely and collaboratively with port of entry partners, community partners across the Atlantic region and program staff to accomplish program objectives and ensure quality of services and program delivery. This role is responsible for the direct leadership, support, and supervision of a diverse team, program development and delivery, tracking and achievement of deliverables and outcomes, reporting, and demonstrating resourcefulness and innovation to enhance services.

The Port of Entry Services Coordinator plays a pivotal role in ensuring the smooth coordination and delivery of services for refugees arriving at the port of entry airport. This position involves overseeing the logistics of the arrival process, coordinating staff and schedules, and managing relationships with partner organizations and agencies to provide refugee arrivals, destined for resettlement across the Atlantic region, with the necessary services and support in their transition to their new environment.

In This Role, You Will

  • Deliver effective team leadership by utilizing strong coaching, and communication strategies, along with efficient staff scheduling and organization
  • Drive operational excellence by developing, and implementing processes, standards, and tools to improve efficiency, accuracy, and service quality that address service gaps, client needs, and emerging trends
  • Provide leadership in consistent program delivery practices and standards, and develop mechanisms for effective collaboration to enhance service delivery
  • Oversee daily program operations as the main point of contact, providing support for client interventions and service delivery as needed
  • Contribute to budget planning and monitoring, ensuring efficient resource allocation and accurate tracking of expenditures
  • Ensure adherence to high standards in managing sensitive information, activity tracking, and communication protocols, while overseeing compliance with safety, security, and operational policies and requirements
  • Prepare timely and accurate narrative and data reports to highlight program achievements, compliance, performance metrics
  • Build and maintain strong, professional relationships with a variety of POE partners, fostering collaboration, soliciting feedback, and addressing concerns promptly

Education And Skills Qualifications

  • Relevant education and/or combination of training or experience in human service delivery, settlement service delivery, program management, community development or equivalent
  • Minimum 2+ years of progressive experience in staff team leadership, program development, coordination, or delivery of community and client-based programming
  • Robust understanding of resettlement sector as well as cultural competency in working with diverse newcomer populations - lived newcomer experience is a strong asset
  • Certifications in crisis intervention, trauma-informed care, conflict resolution or mental health first aid an asset
  • Strong communication and interpersonal skills and proven track record of working, and coordinating, with external partners, such as government agencies, service providers, and vendors, to ensure seamless service delivery
  • Exceptional problem-solving and critical thinking skills, with the ability to remain effective under pressure and respond quickly and resourcefully to logistical disruptions
  • Excellent time management skills to ensure prompt and efficient service delivery and seamless staff coordination
  • Proven experience in developing resources and tools to enhance operational effectiveness and program performance
  • Proven ability to effectively lead, coach and motivate diverse staff teams modelling organizational mission and vision
  • Exceptional organizational and program coordination skills, with attention to detail in planning and monitoring budget, program outcomes and deliverables.
  • Strong written communication skills, with the ability to produce clear, professional, data driven program reports
  • Proficient in Microsoft Office Suite (Outlook, Access, Excel, Word, PowerPoint), Teams, and Zoom, with the ability to quickly learn and adapt to new technologies to ensure excellent service delivery
  • Ability to work flexible hours, including evenings and weekends, depending on client arrival and staff schedules
  • Physical ability to lift and carry up to 30–40 kg may be required for client luggage support tasks
  • Due to the sensitive nature of the work and partnerships involved, candidates must be able to obtain and maintain any necessary security clearances
