Job Description

Reporting to the Manager of Pharmacy, the Pharmacy Informatics Technician provides expertise in the implementation, maintenance, evaluation and upgrading of pharmacy information systems and automation. This position is also responsible for maintaining the pharmacy module of the hospital’s health information system (HIS) and ensuring seamless integration and interfacing with automation. The Informatics Technician collaborates with pharmacists and pharmacy technicians to implement and optimize system workflows to facilitate patient care. Working with pharmacy leadership, the Informatics Technician assists with the completion of quality improvement projects. The Informatics Technician will assist with data collection and report generation to support medication safety and compliance with regulations set out by the Ontario College of Pharmacists, NAPRA and Accreditation Canada.

Key Responsibilities
  • Maintains the pharmacy dictionaries including the formulary, order sets, users, alerts, etc.
  • Runs regular updates of the HIS drug information database and addresses any discrepancies
  • Identifies and troubleshoots software and hardware issues and liaises with Information Technology (IT) and software/automation vendors as necessary
  • Maintains knowledge by keeping up with technology updates and continuing education provided by vendors in addition to ISMP alerts
  • Collaborates with the Pharmacy Purchaser to ensure the drug dictionary is updated with backorders, contract changes and new products
  • Works with the Pharmacy Purchaser and Pharmacy Manager to manage backorders and drug shortages including building, inactivating and updating formulary/label comments for appropriate medications
  • Completes necessary testing prior to and following system or server upgrades
  • Communicates and educates staff updates and changes to workflows
  • Develops training material and trains new staff on how to use the HIS and automation
  • Maintains training records
  • Creates pharmacy procedures on how to use technology and associated workflows for staff reference
  • Assesses requests for system improvements to determine feasibility and appropriateness of change in collaboration with pharmacy leadership
  • Supports accurate inventory and financial data capture by ensuring transactions are interfacing appropriately and inventory, billing and dispensing records match between HIS and automated dispensing cabinets and carousel
  • Works with pharmacists and nurses to ensure appropriate alerts display in software while managing alert fatigue (e.g. high alert and hazardous medications)
  • Maintains barcoding software and associated procedures to support closed loop medication system
  • Creates and updates downtime procedures for pharmacy automation and HIS
  • Works with IT to develop and improve reports to support technical and clinical practices as well as financial and administrative data collection
  • Assists with dispensing audits and discrepancies to support safe medication practices
  • Assists pharmacy leadership with drug use evaluations by generating medication usage and wastage reports
  • Supports accurate tracking of narcotics, controlled drugs and targeted substances in compliance with legislation
  • Supports review of medication incidents with requested data and reports
  • Troubleshoots daily technical/operational issues as they arise
  • Collects and enters pharmacy workload statistics
Skills and Qualifications

Education Requirements

  • Regulated Pharmacy Technician in good standing with the Ontario College of Pharmacists
  • Graduate of an accredited Pharmacy Technician program

Experience Requirements

  • Possesses experience and strong knowledge base in pharmacy based software (e.g. Omnicell, Workflow Rx, Central Pharmacy Manager, PacMed, PakEdge/PALP, MILT/Medi-Dose, Meditech, Oracle Cerner)
  • At least 2 years experience in clinical informatics or technology related role
  • At least 5 years experience in hospital practice

Knowledge, Skills and Abilities

  • Innovative with ability to effectively implement process improvements
  • Solid understanding of pharmacy practice and medication management practices in the hospital setting
  • Highly effective communicator and collaborator
  • Proficient in Microsoft Office 365 products (Word, Excel, PowerPoint)
  • Organized and able to manage time and prioritize tasks
  • Critical thinker with ability to effectively problem solve and troubleshoot
