A large healthcare organization is seeking a dedicated Personal Assistant to support its Facilities Management Team. The successful candidate will manage administrative duties, requiring excellent organizational and communication skills, and a proven track record at senior management level. An exciting opportunity has arisen for an exceptional Personal Assistant (PA) to work within the Facilities Management Team of NHS Greater Glasgow and Clyde.
This post is based at the Queen Elizabeth University Hospital and is offered on a permanent basis.
We are seeking to appoint an extremely well organised, motivated and enthusiastic individual with previous experience of working in a demanding and challenging PA, Team Secretary or Administrative Officer role together with an understanding of the NHS or a large and complex multisite organisation within the Public or Private sector.
Joining an established team the successful candidate will need to be able to manage a fast paced, unpredictable workload with professionalism and above all demonstrate, through experience, a sound understanding of the need for discretion and diplomacy in a confidential setting.
This role requires the ability to be flexible, along with excellent organisational and communication skills, and be experienced in minute taking at a senior level. The successfully appointed candidate will be expected to undertake all aspects of secretarial/administrative support and have a high level of competency in using Microsoft Office, in particular Word, Excel, Power Point and Teams.
In this unique and key role you will have the opportunity to support the Head and Assistant Head of the South Sector Facilities Management Team in delivering services across a wide portfolio of high profile and critical work programmes requiring an ability to work collaborative both internally and externally to the organisation.
A proven track record of working at Senior Management/Board level in a busy organisation where competing priorities are a daily challenge is essential. On a day to day basis you can be liaising directly with a wide range of stakeholders including Senior Management Team, Directors, Clinicians, Operational Managers, Non-Executive Board Members, Scottish Government Health Directorate and the Cabinet Secretary's office, MSPs/MPs/MEPs, other health organisations, partner agencies, trade union representatives and members of the public, ensuring that a customer and performance focus promotes a positive image of the organisation.
Applications are welcome from those who have a recognised qualification in Administration equivalent to HNC in Secretarial Studies or Business Administration, or SVQ in Administration at Level 4, or significant relevant equivalent experience. It is essential that the post-hold can demonstrate a high degree of organisational ability, together with excellent analytical, written and oral communication skills to provide an extensive and comprehensive administrative service to the Head and Assistant Head of the South Facilities team
