Job Description:

We are seeking a proactive and tech-savvy Personal Assistant to support the President of Canada Cloud Pharmacy. This role is vital in ensuring that the President can operate efficiently and effectively, with support in communication, scheduling, and organizational tasks. The ideal candidate will have a strong presence, maintain a professional demeanor, and provide critical support in coordinating the President's daily activities and priorities.

Key Responsibilities:

  • Direct Support to the President: Maintain a constant presence to assist the President, providing seamless support in day-to-day activities and maintaining an organized flow of information.
  • Email and Communication Management: Review, prioritize, and respond to important emails on behalf of the President and another Executive. Serve as a primary point of contact and ensure timely communication across various channels.
  • Meeting Coordination and Minutes: Follow the President to meetings, taking clear and detailed meeting minutes. Ensure accurate records are maintained and follow up on key action items.
  • Calendar and Travel Management: Manage the President’s calendar, schedule appointments, and coordinate travel arrangements to maximize productivity.
  • Technology Utilization: Proficiently use Phone Systems like RingCentral, Microsoft Teams, Outlook, Planner, and Loop to manage tasks, communications, and collaborative efforts effectively.
  • Professional Representation: Represent the President with professionalism, maintain a polite and composed demeanor, and communicate clearly and thoughtfully.
  • Proactive Problem Solving: Anticipate the President's needs and proactively address potential issues, ensuring smooth operations.

Job Requirements:

  • Experience: Minimum of 7 years as an Personal Assistant/ Executive Assistant, preferably supporting senior executives in a fast-paced environment.
  • Educational Background: Degree in Business, Communications, Management, or a related field. A Master’s in Business Administration (MBA) is an asset.
  • Technical Skills: Proficiency in Microsoft Office Suite (especially Outlook and Teams), along with tools like Planner and Loop.
  • Organizational Skills: Exceptional ability to multitask, prioritize, and manage time efficiently.
  • Communication Skills: Excellent written and verbal communication skills, with the ability to maintain composure and professionalism.
  • Attention to Detail: Strong ability to capture and record accurate meeting minutes and follow up on action items.
  • Professionalism: Demonstrates a high level of discretion, confidentiality, and decorum in interactions.

Ideal Candidate:

  • Maintains a professional and polished presence.
  • Highly proactive with the ability to anticipate the needs of the President and act accordingly.
  • Comfortable in a fast-paced, dynamic work environment.
  • Strong interpersonal skills and the ability to interact effectively with a range of internal and external stakeholders.
  • Proficiency with Ai tools is important - Claude, ChatGPT and CoPilot.
  • Understanding how to use MS Planner, To-do and other organizational apps is important.
  • Must be highly flexible; available to work weekdays and weekends as needed.
  • Must be comfortable driving.
  • Must be highly organized, detailed, confident to figure things out independently
