Position Overview :

Seeking a Personal Assistant for a principal based in Campbell River. The successful applicant will represent the principal and provide operational support across various projects. This position works closely with the principal to manage daily schedules, correspondences, and create detailed travel itineraries. Some travel is required on an as-needed basis to ensure smooth operations.

Candidate Profile :

You are able to compile information effectively and pride yourself on your ability to communicate concisely, both in writing and verbally. Organizational skills are a priority, not only administratively but also within residences. You should have strong interpersonal skills and be able to manage a wide variety of personalities in any situation. The ability to juggle competing priorities is vital for success in this role. You have a ‘do what it takes’ attitude and are ready to provide hands-on support as needed. You are a dedicated candidate with no competing obligations, looking to devote yourself to your next long-term role.

Primary Responsibilities :

  1. Manage a dynamic calendar accommodating multiple time zones.
  2. Liaise with staff, vendors, and contractors on properties to ensure everything is ready for the principal’s arrival.
  3. Manage sensitive matters with a high level of confidentiality and discretion.
  4. Source and book events or activities as requested.
  5. Book private travel and accommodations, create trip itineraries, and support last-minute changes to travel plans while the principal is abroad.
  6. Be the main point of contact and accountability for issues like rescheduling missed flights or retrieving lost luggage.
  7. Track expenses, reconcile receipts, and source cost-saving alternatives without compromising quality.
  8. Manage existing inventories and purchasing for the principal.
  9. Help organize and facilitate special events from conception to realization.
  10. Assist with gift buying, Christmas cards, and other small projects.
  11. Research and compile information and solutions as needed for principal approval.
  12. Run errands such as dry cleaning or package drop-offs.
  13. Perform additional duties as assigned by the principal.

Applicant Qualities :

  1. University education is an asset, along with access to a reliable vehicle and a valid driver’s license.
  2. Must be comfortable working in a residence with dogs.
  3. Minimum 3 years of experience in high-profile support, luxury hospitality, or personal concierge services for high net worth individuals.
  4. Familiarity with digital management, tracking, modeling, and writing tools.
  5. Ability to communicate effectively and professionally.
  6. Excellent time management skills, punctuality, courtesy, keen attention to detail, and follow-through on all projects.
  7. Maintain privacy and confidentiality at all times, exercising diplomacy, discretion, and respecting appropriate boundaries.
