Payroll Specialist (Human Resources Administrator)

Position Overview:

As the Payroll Specialist (Human Resources Administrator), you will lead all onsite payroll activities and serve as the go-to subject matter expert for payroll at our facility. You will be responsible for the end-to-end processing, accuracy, and compliance of payroll operations while working collaboratively with the HR and Operations teams to ensure timely and efficient execution.

Shift:

Monday to Friday, 8:00 AM – 4:30 PM (schedule flexibility required due to 24/7 operations)

Key Responsibilities:

• Lead and manage biweekly payroll processing using the site’s timekeeping and HR systems

• Audit and reconcile payroll data to ensure compliance with policies and collective agreements

• Calculate wage adjustments, retroactive pay, and ensure accurate wage updates

• Administer employee terminations in timekeeping and HRMS platforms

• Prepare and distribute reports including monthly seniority lists and payroll registers

• Support union-related payroll tasks in alignment with collective bargaining agreements

• Act as the primary point of contact for all payroll inquiries from employees and leadership

• Ensure data confidentiality and uphold strict privacy standards

• Support ongoing improvements to payroll processes and tools

• Perform general HR administrative duties as needed

Qualifications:

• Minimum 1–2 years of hands-on payroll experience, ideally in a unionized or industrial environment

• Proven ability to manage and lead payroll independently at a site level

• Strong understanding of timekeeping systems and payroll software (experience with ADP, Kronos, or similar systems is an asset)

• Strong communication skills with the ability to work with cross-functional teams

• Detail-oriented with strong time management and organizational abilities

• Proficiency in Microsoft Office, particularly Excel

• Certificate or diploma in Payroll Administration is preferred
