Reporting to the Senior Manager, HR & Total Rewards, the Payroll Specialist is responsible for the end-to-end processing of semi-monthly payroll for Lindt Canada’s corporate, field sales, and retail employees. The role ensures accuracy, compliance, and timely payroll execution while contributing to ongoing system improvements and operational efficiency.

Responsibilities

Payroll Processing

Administer semi-monthly payroll processing including new hires, terminations, salary changes, and statutory entitlements

Maintain and validate time and attendance records to ensure accuracy of hours and balances

Oversee payroll reconciliations, adjustments, garnishments, and government remittances

Process year-end activities including T4s and RL-1s in compliance with federal and provincial regulations

Act as system administrator for Dayforce, managing configurations, troubleshooting issues, and maintaining employee records

Support audits, compliance activities, and Workers' Compensation Board reporting

Stay current with legislative changes and propose process improvements to enhance payroll accuracy and efficiency

HRIS Management

Lead HRIS process enhancements and integration initiatives in partnership with IT, HR, Benefits, and Finance

Conduct system testing, reporting, and ongoing optimization related to Dayforce

Manage security administration and ensure system data integrity

Address vacation calculation errors and support related employee inquiries

Reporting and Remittance

Deliver payroll reports to Finance on a pay-period and monthly basis

Ensure timely and accurate remittance of statutory payments including Employer Health Tax and Workers’ Compensation

Complete year-end reconciliations for all legislative payroll requirements

Employee Support and Administration

Serve as primary point of contact for payroll inquiries, including system access and registration assistance

Develop and update payroll policies and procedures in line with evolving business needs

Qualifications

Minimum 3 years of full-cycle payroll experience, including multi-provincial processing (Quebec experience preferred)

Advanced knowledge of Dayforce HCM, including payroll, time and attendance, and system configuration

Proficiency in Microsoft Excel (V-Lookups, Pivot Tables)

Strong understanding of Canadian payroll regulations and year-end processing

High attention to detail with excellent problem-solving and analytical skills

Ability to work independently and collaboratively in a deadline-driven environment

Exceptional interpersonal and communication skills

Ability to manage confidential information with discretion

Bilingual in English and French is considered an asset
