The Organization

Canadian Religious Stewardship (CRS) Mission is to serve the needs of Religious Institutes in Canada through a ministry of collaboration, in particular, their needs relating to eldercare and stewardship of resources in the midst of diminishment . CRS is a National not for profit, charitable civil corporation and a Public Juridic Person of Pontifical Right. We serve the needs of our clients (Religious Institutes in Canada) through a ministry of collaboration; empower them to view their future with hope in the midst of fewer members and diminishing resources; provide governance, management and administrative expertise and services.

Job Summary

The Payroll Officer reports to the Associate Director of Finance & Operations and is responsible for the end-to-end processing of payroll and related functions for the organization. This includes ensuring accuracy, confidentiality, and compliance with all applicable legislation and internal policies. The Payroll Officer plays a key role in ensuring processing of timely and accurate compensation, maintaining payroll records and ensuring statutory remittances and reporting submitted within required deadlines. The Payroll Officer collaborates closely with the Finance and Human Resources teams and brings a deep understanding of payroll across multiple jurisdictions.

This is a role that requires a high level of initiative, independence, and sound judgment. The Payroll Officer is expected to proactively identify opportunities for improvement and contribute to more efficient payroll systems and processes.

This position may evolve over time to meet the changing requirements of the Religious CRS serves.

Duties & Responsibilities

Payroll Administration :

  • Administer full-cycle payroll for employees located across multiple provinces, including salaried, hourly, and contract staff.
  • Maintain payroll records and ensure accurate processing of wages, benefits, and statutory deductions.
  • Enter and maintain employee data including new hires, departures, job changes, and leaves.
  • Manage records of vacation, sick leave, and other entitlements as provided.
  • Ensure compliance with federal and provincial payroll regulations.
  • Prepare Records of Employment (ROEs) and respond to inquiries from Service Canada.
  • Administer remittances for income tax, EHT, CPP, EI, and other employer obligations, as required.
  • Administer WSIB / WCB processes across applicable provinces, including premium calculations, reporting, and compliance requirements
  • Maintain awareness of legislative changes in all applicable jurisdictions.
  • Reconcile financial activities related to employee RRSP and group benefit plans, where applicable, including remittances to third-party providers (e.g., health, dental, life insurance).

Audit, Compliance and Reporting

  • Prepare and issue annual T4s, T4As, T2200s and reconciliation reports in accordance with CRA deadlines.
  • Support internal and external audits, providing payroll documentation as requested.
  • Assist with preparation of specific payroll reports as required.
  • Reconcile payroll-related accounts monthly and assist with journal entries.
  • Collaborate with Finance to ensure accuracy of payroll allocations
  • Assist with payroll budgeting and forecasting, as required.

Systems and Process Management

  • Maintain and troubleshoot payroll systems and liaise with vendors as needed.
  • Recommend and implement process improvements and best practices to enhance the efficiency and accuracy of payroll operations.
  • Identify gaps or inefficiencies in payroll procedures and take initiative to streamline workflows.
  • Contribute to payroll system configuration or upgrades in collaboration with vendors and internal stakeholders.
  • Maintain up to date documentation of payroll procedures and internal controls.
  • Act as a subject matter expert on payroll processes, advising leadership on potential improvements and compliance updates.

Statement of Qualifications

Education

  • Completion of post-secondary program with an emphasis on Accounting or Payroll, preferred.
  • Payroll Compliance Professional (PCP) designation required.

Knowledge & Experience

  • Understanding of CRS’s mission, Religious Institutes in Canada, and seniors.
  • Minimum of three to five (3-5) years of payroll experience, preferably in a multi-jurisdictional context.
  • Strong understanding of Canadian payroll legislation.
  • Familiarity with relevant government agencies including CRA, WSIB, and EHT.
  • Proficiency with payroll systems (e.g. ADP) and Microsoft Excel.
  • Experience working within registered charities or not for profit organizations, an asset.
  • Working knowledge of French, an asset.

Location

While there is opportunity to work off site on occasion, it is important that the Payroll Officer work regularly on-site and in community with clients and colleagues at Presentation Manor for Seniors in Scarborough, Ontario.
