Position Description
Payroll & HR Systems Associate
The Payroll & HR Systems Associate (PHRSA) collaborates with HR colleagues and SickKids managers and their assistants to ensure accurate and timely HR system setup and processing of SickKids employee data. This includes employee record setup for new hires, changes for current employees, leaves, terminations, and processing of bi-weekly payroll. Maintaining the integrity of employee data and front-line client service policies and standards is a key component of the position.
Here's What You'll Get to Do
Reporting to the Sr. Manager Payroll & HR Admin, the PHRSA is responsible for :
- the daily operations and accuracy of the Human Resources Information System (HRIS) master file input (utilizing Oracle PeopleSoft).
- Validation of information provided from other areas of HR such as Talent Management, Talent Acquisition, and HR Managers, and from internal clients.
- Ensuring that SickKids employee records and setup are timely and accurately recorded including entry of personal and job-related data.
- timely and accurate processing of all payroll and employee change transactions on a bi-weekly basis.
- Calculation of payroll amounts for retroactive pay adjustments.
- Communication and recovery of overpayments.
- Compliance with hospital policies.
Specific key responsibilities :
- Processing of transactional employee record data for employees prior to the bi-weekly pay run.
- Reviewing and processing automated workflow transactions initiated by SickKids managers, delegates and / or HR colleagues (through Oracle PeopleSoft¿s Manager Self Service module).
- Ensuring the proper signing authorities have approved all transactions and that adequate back-up documentation is available.
- Verifying transactions for accuracy and ensuring information processed adheres to hospital policies and government statutory requirements.
- Set up of employee records in two systems ¿ the PeopleSoft HRIS and Express Net (pay time-capture and approval system).
- Interaction with employees, administrative timekeepers and / or managers for requests, questions re-submitted transactions, issue resolution, or to respond to basic enquiries regarding hospital policies.
- Ensuring proper protection, retention, and destruction (as appropriate) of confidential employee information; including back-up documentation for electronic scanning and storage on a bi-weekly basis.
- Applying knowledge of payroll concepts, legislation, regulations, accounting, calculations, and terminology.
- Maintaining positive internal relationships with internal clients and HR colleagues.
- Calculating and processing of manual cheques as required.
- Creating and updating process documentation for internal processes.
- Adhering to payroll audit requirements related to verification.
- Verification of forms entered by another team members.
Here's What You'll Need
- 1-2 years Payroll / HR experience, preferably in an environment utilizing Oracle PeopleSoft technology, PCP candidates welcome.
- Degree or diploma in Human Resources, or equivalent experience.
- Experience with Express Net or other time / labour system preferred.
- Understanding of union and non-union work environments.
- Working knowledge of Ontario Employment Standards Act.
- Proficient in MS Office applications (Excel, Word, PowerPoint).
- Strong interpersonal and communication skills.
- Client-service focus with analytical and problem-solving capabilities.
- Excellent organizational and time management skills.
- Understanding of privacy and confidentiality principles, policies, and legislation.
- Ability to prioritize, manage time and multi-task within the confines of multiple deadlines.
- Demonstrated commitment and actions in advancing equity, diversity, and inclusion objective.
- Familiar with Service Canada and Canadian Payroll Association standards.
