POSITION: Payroll and Benefits Specialist

ABOUT THE COMPANY:

SUMMARY:
Natus Sensory, Inc. is seeking a Payroll & Benefits Specialist (US & Canada - Remote) to manage benefits and payroll compliance for our US and Canada employees. This role primarily involves benefit enrollment, payroll processing, compliance with labor laws for both countries, and serving as the first point of contact for benefit and payroll-related inquiries.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Benefits Management:
• Oversee benefit enrollment for US and Canada employees.
• Submit benefit invoices for payment to our Accounts Payable department.
• Partner with our benefits broker to plan the annual open enrollment.
• Track and administer all FMLA and additional leave requests via our third-party benefits provider.
• Enter new hires into our Retirement Plan benefits provider.
• Coordinate and execute new hire benefits orientation.
• Prepare and submit RRSP/401K contribution files
• Preparation of Record of Employment Forms
• Provide support with 401(k) audit and form 5500 filings.
• Organize annual wellness events for employees.
• Payroll Management:
• Process payroll bi-weekly for US and Canada employees, adhering to different pay schedules.
• Collaborate with HR and Finance to coordinate payroll processing, cash flow planning, and special payment cycles such as bonuses and severance.
• Utilize and administer the Dayforce Reporting Tool to generate ad hoc and routine reports to support business decisions.
• Assist in the preparation, evaluation, and distribution of annual employee reports (W2, T4, T2200, RL-1, etc.)
• Manage the setup and maintenance of state and provincial tax accounts, including withholding and unemployment contributions.
• Ensure full compliance with federal and provincial payroll regulations, including but not limited to CRA, CPP, EI, and other applicable laws.
• Verify and update employee information, including new hire details, changes to existing employee records, and voluntary deductions before payroll processing.
• Handle responses to unemployment claims, ensuring proper processing.
• Coordinate with external vendors for accurate payroll data exchange and process enhancements and maintain updated knowledge of international payroll regulations.
• Ensure confidentiality and integrity of payroll data, provide audit support, and address payroll-related employee inquiries efficiently.
• Assist employees with understanding their paychecks, deductions, and benefits.
• Resolve payroll discrepancies and issues.
• Serve as the first point of contact for payroll-related questions.
• Compliance and Policy Implementation:
• Ensure compliance with labor laws and regulations in both the US and Canada.
• Assist in the development and implementation of HR policies and procedures related to benefits and payroll.
• Conduct regular audits to ensure adherence to company policies.
• Support the HR Manager as needed.

Must-Have Requirements:
• Experience with US & Canadian payroll required
• Strong understanding of payroll regulations and procedures in the U.S. and Canada.
• 5-7 years of working experience in payroll and benefits.
• Demonstrated proficiency in payroll and benefits management and administration.
• Knowledge and experience in administration of 401(k) plans.
• Knowledge and experience in the Affordable Health Care Act employer mandate requirements.
• Previous open enrollment experience.
• Experience and strong understanding of benefits and payroll auditing.
• Minimum 3-4 years’ experience in payroll and benefits.
• Knowledge of benefits administration, including Medical, Dental, Vision, Ancillary, health & wellness initiatives.
• Knowledge and experience in the administration of Self-Funded health insurance programs.


Preferred Requirements:
• Bachelor’s degree in human resources, Accounting, Business, or related field preferred.
• Experience with HSA/FSA plans an asset
• Advanced proficiency in Microsoft Excel and data analytics.
• Proficient with Microsoft Office products (Excel, Word, Access).
• Strong customer service skills for communicating with both internal employees and external vendors.

Pay Transparency:
Actual compensation offered may vary depending on skill level, experience, and/or education. Compensation Range: $60,000 to $80,000 plus annual bonus.
