Job summary

People Can Fly in Montréal, QC, is seeking a payroll and benefits administrator to manage semi-monthly US and Canadian payrolls and ensure regulatory compliance.

The role requires five years in compensation or benefits, fluent French, strong English, and experience with HRMS systems. You will collaborate with HR, Finance, and external agencies to maintain accurate records and support audits.

Responsibilities

  • Process semi-monthly US payroll (multiple states) and Canadian payroll (multiple provinces).
  • Ensure payroll compliance and accurate taxation per provincial, state, and federal regulations.
  • Perform retroactive pay, bonuses, and other compensation calculations.
  • Manage off-cycle payrolls, terminations, pro-rated payments, ROEs, and inquiries from government agencies.
  • Complete year-end processes and distribute tax forms (T4s, T4As, RL-1, T2200, W-2s) as required by CRA and regulations.
  • Maintain detailed payroll records for audits and stay updated on regulatory changes.
  • Generate HR reports for HR and Finance departments and support financial audits.

Job Description
  • Responsible for processing semi-monthly US (multiple states) and Canadian (multiple provinces) payroll.
  • Manage payroll compliance and taxation by ensuring proper system configurations that meet all provincial, state, and federal payroll legislation and regulations.
  • Perform retroactive pay and benefits calculations and apply bonuses and other compensation elements as needed.
  • Manage the processing of off-cycle pay and terminations, calculate pro-rated payments, prepare ROEs, and respond to inquiries from government agencies.
  • Ensure completion of year-end processes within prescribed government timelines, including annual production and distribution of standard and non-standard tax forms (T4s, T4As, RL-1, T2200, W2s etc.) to ensure they are issued in accordance with the CRA and other regulatory requirements.
  • Maintain detailed records and documentation of payroll functions for audit purposes.
  • Stay current on the latest regulatory changes with respect to payroll to ensure payroll policy adherence and compliance per province/state.
  • Customize and generate HR reports for the HR and Finance departments as needed.
  • Partner with the finance team to provide payroll & benefit information for financial audits.
  • Partner with HR and Finance to liaise with external agencies as needed, including IRS, CRA, Service Canada (ROE Web) etc.
  • Partner with the Administration Team to process employee expenses each pay period.
  • Working with HR & Payroll & Benefits Lead to resolve escalated payroll issues and discrepancies.
  • Act as the benefits subject matter expert and administer Canadian and US group benefits and retirement plans, employee assistance programs and all other group benefits.
  • Leverage the internal payroll & benefits team to activate new enrolments, benefits onboarding and offboarding, and for coverage or salary modifications, and terminations.
  • Act as the main contact for employees for all US and Canadian benefits-related matters, and work with insurance providers and/or brokers to resolve claims issues.
  • In partnership with HRBP, and Payroll & Benefits lead, actively participate in the annual renewal review with brokers and communicate renewal changes to employees.
  • Review monthly insurance provider invoices for accuracy and forward to accounting for payment.
  • Administers employee insurance programs including life, disability, and health insurance plans.
  • Administers employee savings plans that may include the company’s 401(k) plan, RRSP, personal savings plans, and deferred compensation programs.
Qualifications
  • Five years experience administering compensation or benefits programs required.
  • Must speak French fluently.
  • Experience administering and maintaining HRMS systems.
  • Proficiency in English is required for this position, as the role involves regular communication with international colleagues, partners, and stakeholders based outside of Québec.
