Payroll & Benefits Coordinator

FULL-TIME POSITION (35 hours/week)


The Payroll & Benefits Coordinator is responsible for the preparation, calculation, reconciliation, and completion of full-cycle payroll and benefits administration. They engage with employees, district staff, and external agencies regarding payroll and benefit-related matters. The role requires excellent organization, high attention to detail and accuracy, the ability to meet demanding deadlines, and maintaining confidentiality of payroll and benefits information. Clerical duties as required.

Duties and Responsibilities
  1. Process, calculate, code, reconcile, and transmit employee payrolls from various sources in accordance with established wage rates, salaries, allowances, benefits, and deductions, ensuring compliance with legislation, collective agreements, and employment contracts.
  2. Review and process staffing notifications; update employment status, pay rates, and hours; maintain and audit employee records; generate reports.
  3. Coordinate enrollment, maintenance, and termination of benefits with providers.
  4. Communicate with employees and third-party administrators regarding benefit matters; provide necessary payroll documentation for claims.
  5. Correspond and liaise with Human Resources, employees, and outside agencies on payroll-related issues such as benefits, vacation, pensions, sick leave, and employee notifications.
  6. Ensure accurate recording of contract and collective agreement entitlements and benefits; address overpayments when necessary.
Qualifications
  • Completion of Payroll Compliance Practitioner program with the National Payroll Institute, plus courses in business computer applications and financial accounting, with a minimum of five years related experience or an equivalent combination of training and experience.
  • Maintain professional designation of Continuing Professional Education (CPE) as per the National Payroll Institute.
  • Extensive knowledge of full-cycle payroll practices and procedures.
