Job summary

SWIM is seeking an experienced Payroll and Benefits Administrator for a 6-month contract in Pickering, Ontario. You will manage payroll, benefits and pension processes in a large unionized environment, ensuring timely and accurate transactions across employee groups.

You will review complex payroll calculations, maintain records, and support pension and benefits administration while aligning with collective agreements and policies.

Qualifications

  • Minimum 3 years of payroll administration experience within a unionized environment.
  • Hands-on experience with SAP Payroll/HRIS or similar ERP/payroll system.
  • Strong knowledge of Canadian and Ontario payroll legislation and collective agreements.
  • Accurate, organized, and able to meet strict payroll deadlines.

Responsibilities

  • Process payroll, benefits and pension administration for employees.
  • Review and enter payroll, pension, and benefit transactions in the payroll/HRIS system.
  • Maintain employee information for hires, transfers and terminations.

Bring your unionized payroll expertise to a large Ontario organization in this 6-month Payroll & Benefits contract.

Who - the Company:

Our client is a large, well-established Ontario-based organization with employees located across the province. Operating within a complex and professional environment, the organization offers the stability and structure of a large employer while providing the opportunity to work within an experienced payroll and benefits function.

This is an opportunity to join the organization’s Payroll and Benefits team, supporting the accurate and timely administration of payroll, employee benefits, pension, attendance and employee records. The position reports to the Manager, Payroll and Benefits.

What - the Role:

This is a 6-month contract opportunity for an experienced Payroll and Benefits Administrator to provide hands‑on payroll, benefits and pension administration, ensuring employee transactions are processed accurately, consistently and on time.

A key part of the role will involve reviewing and entering payroll, pension and benefit transactions into the organization's payroll/HRIS system, maintaining employee information for new hires, transfers and terminations, processing complex payroll calculations and resolving discrepancies involving pay, deductions, taxation and benefit premiums.

You will also support benefits and pension administration, maintain employee and pension records, prepare documentation for insurance carriers and other agencies, process ROEs and assist with other pension-related activities and employee changes.

The role involves regular interaction with employees and managers, providing guidance on payroll, salary and benefit entitlements while appropriately applying collective agreements, legislation and corporate policies. You will also have the opportunity to support payroll and HR process improvements, reporting, audits, grievances and disability-management administration.

Who - the Candidate:

We are seeking an experienced Payroll and Benefits Administrator with a minimum of 3 years of payroll administration experience within a unionized environment. The ideal candidate has worked within a large, complex organization and is comfortable administering payroll across different employee groups while interpreting collective agreements, HR policies and applicable payroll legislation.

You bring strong hands‑on experience with SAP Payroll/HRIS or a similar large ERP/payroll system and are comfortable processing and reviewing complex payroll transactions, including overtime, salary adjustments, retroactive payments, maternity/parental leave top‑ups, promotions, merit increases, grievance awards, garnishments, terminations and severance. Experience investigating payroll discrepancies and responding to employee and manager questions regarding pay, deductions and benefits is important.

You have a good understanding of Canadian and Ontario payroll legislation, including the Employment Standards Act, Employment Insurance Act, statutory deductions and taxable benefits, and can confidently interpret and apply collective agreement language. Experience with pension administration, WSIB and ROEs is highly relevant. PCP or CEBS completion, or progress toward either designation, is considered an asset.

You are highly accurate, organized and discreet, with strong communication skills and the ability to manage stringent payroll deadlines. You are comfortable handling confidential employee information and working collaboratively with employees, managers, HR colleagues and external providers.

Where:

Pickering, Ontario. This is a hybrid position requiring approximately 50% in-office attendance, with some flexibility to work from another office location where appropriate. The role works an 8-hour day, Monday to Friday, with core business hours between 8:00 a.m. and 5:00 p.m.

How Much:

$38–$40/hour, plus monthly vacation/sick-day accrual and 2% in lieu of benefits.
