As the Payroll and Accounting Coordinator, you will be responsible for the timely calculation of wages, deductions, and benefits, as well as preparing journal entries and reconciling accounts. - Core business hours are Monday to Friday, 8:00am to 4:30pm
- Additional hours may be required at times to perform the responsibilities of the role
Primary Responsibilities:
Payroll Functions:
- Oversee the complete bi-weekly payroll processing for both hourly and salaried employees, utilizing Ceridian Dayforce HCM, including variable pay, commissions, and bonuses
- Maintain and update all relevant data within Dayforce HCM, encompassing payroll, benefits, and document storage
- Process payroll adjustments for new hires, terminations, taxable benefits, earnings, deductions, hours worked, commissions, vacation, and other necessary entries
- Conduct audits and verify Time and Attendance records to ensure accurate compensation, including statutory holidays, vacation, and sick leave
- Prepare, verify, and audit regular payroll reports, including headcount, overtime, payroll discrepancies, and statutory deductions
- Reconcile remittances by accurately reporting journal entries to the general ledger, including WSIB, Health and Benefits, EHT, and Source Deductions
- Analyze and remit liability payments, ensuring both accuracy and timeliness
- Ensure compliance with applicable government legislation and maintain precise records for legal and regulatory requirements
- Promptly respond to and resolve employee payroll inquiries with professionalism and efficiency
- Reconcile benefit premium invoices with employee deductions and taxable benefits for Life, AD&D, Long-Term Disability (LTD), and other health benefits
- Complete year-end payroll procedures, including adjustments and verification of T4s against CRA payroll remittance balances
- Assist in the onboarding process for new hires, ensuring all necessary documentation is collected and properly filed
- Provide training to new employees and promoted supervisors on timesheet entry, submission, and approval processes
- Support the off-boarding process, including final pay calculations and benefits termination
- Prepare and submit Records of Employment (ROEs) for terminated employees
- Maintain accurate employee records in Dayforce HCM and other files, including personal data, job titles, and salaries
- Collaborate with HR to assist employees with benefits enrollment, changes, and general inquiries regarding health insurance and leaves of absence
- Coordinate with benefit providers to ensure employee coverage and resolve any discrepancies
- Interpret and apply government legislation and company policies to ensure compliance in all payroll-related activities
- Manage employee garnishments from provincial and federal governments and respond to related inquiries
- Deliver exceptional customer service by providing payroll advice and regular reporting to Executives, Human Resources, Managers, and employees, addressing their inquiries in a timely manner
- Monitor payroll-related documentation to ensure accuracy, consistency, and relevance to business processes
- Assist in payroll projects and process improvements as assigned
Accounting Functions:
- Prepare payroll journal entries and calculate payroll accruals, posting resulting entries to the general ledger
- Generate and analyze monthly and quarterly payroll reports against general ledger postings, ensuring everything is recorded properly
- Complete year-end reconciliations and filing requirements
- Review employee expense submissions for accuracy, completeness, and adherence to corporate policies
- Complete account reconciliations and reporting requirements to support the accounting team
- Collaborate within a team environment, providing coverage for colleagues during absences
- Assist in accounting projects and process improvements as assigned

- Excellent prioritization skills and the ability to manage conflicting demands effectively
- Professional demeanor with the ability to interact sensitively, tactfully, and diplomatically with individuals at all levels
- Strong verbal and written communication skills
Qualifications:
- A minimum of three (3) years of payroll experience in a medium-sized company (150+ employees), utilizing payroll systems and software
- Proficiency in basic accounting practices, including journal entries and reconciliations
- Completion or progress towards the Payroll Compliance Practitioner (PCP) certification is preferred
- Comprehensive understanding of Canadian payroll practices and standards; experience with Canadian Federal Labour laws is an asset
- Familiarity with Ceridian Dayforce and Sage 300 is advantageous
- Intermediate proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook
- Valid Class G Driver’s License and access to reliable transportation
