Association for New Canadians is a non-profit, community-based organization dedicated to

the provision of settlement and integration services for immigrants and refugees.

Job Title: Payroll Administrator

Location: St. John’s, NL

Position Type: 1 full-time position until March 31, 2026 with possibility of extension pending budget availability and satisfactory performance

Closing date: May 13, 2025

Reporting to the Senior Director of Finance, HR, and IT, the Payroll Administrator is responsible for processing bi-weekly payroll, administering employee benefits programs, addressing any related inquiries, and liaising with providers to resolve issues. The incumbent supports accounts payable by entering and processing invoices, issuing payments, and addressing discrepancies with vendors. This role also assists with audits and generates payroll and financial reports as needed.

Roles and Responsibilities:

Payroll Administration:

  • Process bi-weekly payroll accurately and on time for all employees
  • Ensure compliance with federal and provincial payroll regulations and tax laws
  • Maintain accurate records of employee hours, wages, and deductions
  • Handle payroll-related inquiries and resolve discrepancies promptly
  • Generate payroll reports for management as needed

Benefits Administration:

  • Administer employee benefits programs, including health insurance, retirement plans, and other company-provided benefits
  • Process enrollment and changes in benefits coverage
  • Serve as the primary point of contact for employee inquiries regarding benefits
  • Liaise with benefit providers to resolve issues and ensure smooth administration of benefits

Accounts Payable (AP):

  • Enter and process invoices in the accounting system
  • Prepare and issue payments (e.g., checks, electronic transfers) to vendors on time
  • Support audits by providing requested documentation related to payables
  • Review and process invoices accurately and in a timely manner
  • Coordinate with vendors to address any payment issues or discrepancies
  • Other duties as assigned

Qualifications and Experience:

  • Bachelor's degree is required, preferably in Accounting or Finance
  • At least at least 3 years of experience processing multi-state payrolls for medium to large organizations
  • Experience and strong knowledge of payroll and payroll tax processing best practices and regulations
  • Excellent written and verbal communication skills
  • Excellent command over Microsoft365, Google Workspace, and SAGE300
  • Certifications: Canadian PCP (preferred)

Conditions of Employment:

  • Legal authorization to work in Canada
  • Flexible to work outside of core hours (Monday-Friday, 9:00am - 5:00pm)
  • Valid class 5 NL driver’s license and daily access to a reliable vehicle (preferred)
  • Position is subject to a satisfactory Criminal Record Screening and Vulnerable Sector Check from the Royal Newfoundland Constabulary
