Job Details

Reporting to the Shop Manager, the Service Writer will serve as the main customer contact for external/commercial customers for work intake, job status updates, and approvals. As the Parts Room Person, this team member is responsible for maintaining inventory levels, tracking all incoming and outgoing parts and supplies, and ensuring proper accounting in TMT, charged to the appropriate RO and Invoice. This position will also handle closing ROs and Invoices and notifying customers of job progress and completion.

Responsibilities
  1. Communicate with customers about repairs, status, and approvals.
  2. Schedule units for service.
  3. Offer suggestions to customers on vehicle repairs in liaison with the Shop Manager.
  4. Coordinate with the shop manager, parts person, lead hand, and mechanics to ensure prompt job completion.
  5. Serve as the customer service representative, handling initial complaints, estimates, and ongoing communication throughout the job process.
  6. Communicate job requirements to the shop team and assist with scheduling.
  7. Verify that all labor and parts are accurately documented on ROs and Invoices, both commercial and internal.
  8. Communicate emergency triage requests to the lead hand.
  9. Close work orders and invoice customers upon job completion.
  10. Utilize shop planner effectively.
  11. Scan shop documents to repair orders.
  12. Perform other duties as assigned by management.
Qualifications
  • Strong interpersonal and communication skills.
  • Proven leadership abilities and a commitment to quality and safety.
  • Knowledge of operating standards, policies, and procedures is advantageous.
  • Thorough knowledge of heavy-duty truck parts and vehicle systems is preferred.
  • Computer literacy, especially with Windows and MS Office; experience with TMT is a plus.
  • Excellent problem resolution skills.
