About the Role:

We are currently seeking a highly organized and hands-onParts and Inventory Coordinatorto join our Aftermarket Sales team. This position will require time spent in both the office and shop floor. The ideal candidate is someone determined to provide excellent customer service, who thrives in both physical and administrative work, such as maintaining inventory, picking and packaging orders, and processing parts orders. The successful candidate will play a key role in ensuring the parts department operates smoothly, with timely shipments, properly stocked inventory, and excellent support to our customers and internal teams.

Customer Service & Order Coordination

  • Respond to customer inquiries with accurate pricing, availability, and lead time information.
  • Process and manage parts orders via phone and email with speed and attention to detail and urgency as required.
  • Coordinate the full lifecycle of parts orders, including order entry, documentation, tracking, and shipping confirmation.
  • Support customers and internal teams with identifying the correct parts.
  • Manage customer returns, apply restocking fees where applicable, and generate credit paperwork.
  • Follow up internally on outstanding orders using the Order Backlog and provide status updates to customers regularly.
  • Update part data in the ERP system (Microsoft Dynamics NAV) as required

Inventory Management & Packaging

  • Organize and maintain the parts store area for cleanliness, accessibility, and operational efficiency
  • Maintain a forecasted list of commonly sold parts and identify appropriate reorder points.
  • Monitor, track, and restock inventory of MRO materials required for shipping (e.g., variety box sizes, packaging supplies, labels).
  • Work closely with production and purchasing to coordinate made-to-order and stocked parts.
  • Package and prepare shipping labels for all outgoing parts orders.
  • Proactively maintain an organized and safe shipping/packaging station; propose solutions to reduce product damage in transit and efficiencies in packaging goods.
  • Track & pull parts while utilizing an ERP systems and Visual checks.
  • Assist with the physical handling of parts and coordinate safe, efficient shipping.

Qualifications and Experience:

  • Previous experience in a Parts Department, After Sales Service, or Inventory Coordination role considered a strong asset.
  • Comfortable working in a manufacturing setting with a workload split between the shop and office.
  • Aptitude for interpreting shop drawings and part breakdowns.
  • Proficiency with ERP systems (preferably Microsoft Dynamics NAV) and Microsoft Office tools.
  • Experience with physical parts handling, packaging, and shipping logistics considered a strong asset.
  • Familiarity with parcel and freight carriers (UPS, Purolator, DHL, FedEx).
  • Ability to forecast demand, manage stock levels, and keep records of materials and supplies.
  • Strong attention to detail, multitasking ability, and effective communication skills.
  • Team-oriented with a positive, proactive approach to daily responsibilities.
  • Genuine interest in hydraulics and mechanical lifting systems.
