  • Assisting with lunch and coffee orders and maintaining the kitchen area.
  • Answering and directing phone calls to the appropriate team or department.
  • Compiling and organizing receipts and expense reports.
  • Assisting with task and project coordination.

Job description

  • Coordinating travel arrangements for the Executive and Senior Management Team
  • Managing office supplies, including proactive ordering and maintenance of inventory levels to ensure uninterrupted workflow.
  • Supporting meeting logistics by scheduling and setting up large meetings, preparing meeting rooms, coordinating food arrangements, and assembling materials such as media kits and samples.
  • Assisting with lunch and coffee orders including placing orders, coordinating delivery and pickup times, and distributing items to the team.
  • Maintaining the kitchen area by stocking supplies, loading, and unloading the dishwasher, and refilling the refrigerators and coffee machines.
  • Answering and directing phone calls to the appropriate team or department, and handling walk-in requests for all visitors at reception.
  • Compiling and organizing receipts and expense reports.
  • Assisting with task and project coordination. -Assisting with any miscellaneous requests as needed.

Requirements :

  • 1-3 years of experience as an Administrative Assistant or in general office administration.
  • A post-secondary education in general office administration or relevant work experience.
  • Experience working in a fast-paced work environment.
  • Excellent computer skills, including proficiency in Microsoft Office & Google Suite.
  • Strong written and verbal communication skills.
