Job description

POSITION SUMMARY: Under the general supervision of the Supervisor – Administrative Support Services performs general office and receptionist duties, while participating in the booking of municipal parks and facilities for the Department.

MAJOR RESPONSIBILITIES:

  • Provides front-line customer service and information to the public regarding the municipal parks and cemetery. Assists customers with information about various facilities pertaining to capacity, availability, and special requests.
  • Receives and redirects telephone, email and counter inquires while distributing incoming mail and faxes; accepts reservations for City operated park facilities.
  • Creates and distributes rental contracts and verifies returns. Confirms all event applications have been received and special requests are approved. Ensures requirements have been met by communication to park staff.
  • Maintains and updates the database of permits, reservations, and schedules for the Parks and Open Spaces section.
  • Maintains records for all phases of the cemetery operation, including the computerized cemetery inventory.
  • Processes, verifies, and applies payments to customer accounts while reconciling accounts and the distribution of customer invoices and receipts.
  • Meets with the public and liaises with funeral directors.
  • Completes Ontario One Call locates for the Parks and Open Spaces section.
  • Distributes event calendars to all applicable staff.
  • Transfers files to and retrieves files from Archives, as required.
  • Performs such other duties as may be assigned.

QUALIFICATIONS:

Education/Experience:

  • Secondary school graduation, together with post-secondary courses in accounting or a recognized bookkeeping course and one year of office experience; or
  • Minimum 3 years of office experience, together with some education in accounting or bookkeeping

Skills/Abilities:

  • Must be at intermediate skill level in keyboarding, word processing and spreadsheet software
  • Self-starter with excellent organizational, time management, and interpersonal skills
  • Ability to communicate effectively and concisely, both orally and in writing
  • Must be able to deal with the public in a courteous and tactful manner.

Assets:

  • Knowledge of Stone Orchard and Perfect Mind software

CONDITION OF EMPLOYMENT:

  • Must undergo a successful Criminal Record and Judicial Matters Check (CRJMC)

Should this temporary vacancy be filled by a regular full-time employee, seniority and benefits will continue in the normal manner and the regular employee will continue to maintain normal, full-time status for the duration of the appointment.
