We support the University’s mission by assisting students, staff and faculty through a variety of departments, including: Admissions, Recruitment and Transfer Credit, the Office of the Registrar (Awards, Academic Scheduling & Curriculum, Records, Registration and Financial Aid), Student Success and Learning (Academic Advising, Student Community Standards, Student Experience, Student Learning Services), Access and Inclusion Services, Career Services, Wellness Services, Cougars Athletics and Recreation, the Iniskim Centre, International Education, Residence Services, Student Systems and Student Communications.
About The Role
Reporting to the Director, Admissions and Recruitment, the Operations Specialist will support multiple areas within the department. Knowledge of Admissions, Recruitment, and Transfer Credit and Articulation will allow them to coordinate processes that span these areas, including but not limited to admissions support, CRM, transcript manager, and APAS. This position will coordinate projects and initiatives within Admissions and Recruitment such as Banner upgrades, CRM updates, research on best practices, and web updates. Additionally, they will support the implementation and maintenance of new systems, often acting as a liaison with the Systems team. The incumbent must be familiar with the timelines, procedures, and policies for all areas within Admissions and Recruitment to ensure accurate and efficient coordination across all areas.
Responsibilities
- Coordinate projects and initiatives within Admissions and Recruitment such as Banner upgrades, CRM updates, admissions support, and APAS
- Identify and implement system enhancements and initiatives that improve operational efficiency while meeting University objectives
- Coordinate the design, testing and development of business requirements for new systems and methodologies to improve processes, customer service and efficiencies across the department
- Support the coordination and logistics of Open House in conjunction with Marketing and Communications
- Facilitate the scheduling of Annual Admission team meetings with faculties and departments as required
- Working with the Admissions and Recruitment Leadership team, support the integration of the CRM system into the daily operations of the Admissions and Recruitment Office
- Develop and maintain up-to-date documentation for the customer relationship management system including content development and documentation of daily administrative procedures
- Coordinate Banner upgrades across Admissions and Recruitment. Review release notes and work with the Manager, Admissions, and Coordinator, Transfer Credit to identify new or updated functionalities that would benefit the respective areas.
Qualifications
- 4-year degree from an accredited post-secondary institution
- Minimum of 2 years of related experience, preferably within Enrolment Management, to ensure that the incumbent has a strong knowledge base in regards to common policies and procedures at a post-secondary institution.
- Experience in past positions showing a high aptitude for learning technical and detailed work.
- Problem solving and decision making skills
- Strong interpersonal and communication skills
- Experience with Banner Student Information System is an asset
- Experience dealing with a high volume of inquiries and workload
- Ability to work independently and as a member of a team
Salary: $55,982 - $70,841 per annum
