Detailed Role Description:
We are a dynamic, growing, highly litigation-focused law firm dedicated to delivering results-driven representation for corporate, high-net worth, and institutional clients. Our success is built on agility, depth of knowledge, and a culture of high performance. We are currently seeking an Operations Manager / Executive Level Professional who is ready to take full ownership of the firm’s internal systems, workflow management, and HR operations.
About the Role:
This is not a clerical or passive administrative position. This is a high-impact leadership role for someone who can bring clarity, structure, accountability, and process excellence to a fast-moving litigation practice. The ideal candidate will come equipped with proven experience in managing internal operations at a performance-first organization—within a legal or professional services setting (Prior legal industry experience is a must). You’ll be responsible for running the “engine room” of the firm so that our legal team can focus on client results.
This role requires a hands-on systems thinker, comfortable with KPIs, automation tools, HR compliance, and firm-wide performance culture.
Key Responsibilities:
  • Design, maintain and optimize workflows across departments (e.g. HR, interdepartmental workflows, client communications, etc.)
  • Automate recurring operational tasks and implement SOPs for key processes (e.g. office management functions, introducing dashaborad, heatmaps, checklists, etc)
  • Lead the recruitment process for staff roles (screening, interviewing, onboarding, probation)
  • Oversee day-to-day HR matters, including performance reviews, career development planning, conflict resolution, and workplace culture management
  • Manage employee lifecycle events, including investigations, discipline, terminations, and exit interviews
  • Track and analyze weekly metrics and department KPIs; compile reports for the Leadership Team
  • Facilitate accountability by aligning roles and responsibilities across the firm
  • Own and enforce compliance with internal policies, employee handbooks, and operational protocols
  • Create internal systems to monitor timelines, workloads, and outcomes
  • Manage vendor relationships and oversee service quality for outsourced operational functions
  • Collaborate with marketing, legal, and business development units to ensure firm-wide operational alignment
  • Identify workflow breakdowns or inefficiencies and proactively solve them
  • Ensure that all internal systems support the firm’s performance, client service, and compliance goals

Qualifications:
  • 5–10+ years of experience in operations, HR, accounting or business administration
  • Minimum 3 years of experience in a law firm or professional services organization
  • Demonstrated success implementing internal systems, SOPs, or workflow automation
  • HR management experience, including recruitment, performance management, and conflict resolution
  • Strong knowledge of employment law, workplace investigations, and personnel documentation standards
  • Familiarity with legal compliance obligations in Ontario (e.g., ESA, Rules of Civil Procedure)
  • Experience in tracking and presenting operational metrics, OKRs, or KPIs
  • Strong communication, conflict resolution, and systems-thinking skills
  • Bachelor’s degree in Business Administration, HR, Operations Management, or a related field (MBA or CHRP/CHRL designation is a plus)

Salary: Starting $80,000–$130,000+ per year (Fixed / Performance-based / Profit-sharing)
