The Operations Manager will serve as the organizational backbone of IN Engineering + Planning, ensuring smooth day-to-day operations, supporting project delivery, and driving internal efficiency. This role blends strategic oversight with hands-on execution across administration, business development, operations, and human resources.

IN Engineering + Plannng is centrally located in Brockville, Ontario, to provide services to Eastern Ontario—including Kingston, Ottawa, Cornwall, Perth, Smiths Falls, and Kemptville.

Key Responsibilities
  • Administration
    • Maintain and review Odoo CRM to ensure accurate client and project data
    • Review timesheets for team productivity and utilization
    • Monitor Written Off Time entries and ensure proper allocation
    • Review and update Sales Orders for accuracy and completeness
    • Report on team member metrics (e.g., utilization) and discuss with leadership
    • Review unvoiced time and expenses to ensure billing accuracy
    • Assist in preparation of quarterly review stats and performance metrics
    • Contribute to SOP development and potential e-learning platform content
  • Business Development
    • Collaborate on web development, SEO, and marketing initiatives
    • Support content creation and digital outreach strategies
    • Prepare proposals in response to posted RFPs
    • Assist in team presentations and quarterly themes to align with strategic goals
  • Operations
    • Support project delivery through project management activities
    • Ensure client satisfaction by monitoring schedules, budgets, and expectations
    • Conduct After Action Reviews (AARs) for completed projects
    • Ensure team usability and resource allocation aligns with project needs
    • Collect and analyze productivity stats to inform operational improvements
  • Human Resources
    • Review new candidates and maintain hiring pipeline
    • Discuss performance metrics with individual team members
    • Support onboarding and mentorship for new hires
    • Contribute to team development initiatives and internal training strategies
Minimum Requirements
  • Bachelors degree in Business, Engineering, or related field
  • 5+ years of experience in operations or project management, ideally in engineering or design
  • Strong organizational and leadership skills
  • Familiarity with CRM systems (Odoo preferred), project management tools
  • Excellent communication and analytical abilities
  • Experience with Technical Proposal Writing
