ABOUT THE JOB:
The Operations Manager oversees daily organization functions, optimizes processes, and ensures department efficiency. This role involves managing teams, improving productivity, coordinating cross-functional activities, and implementing strategies that align with company goals. The Operations Manager drives operational excellence, resource management, and service user satisfaction.
RESPONSIBILITIES:
MANAGEMENT AND LEADERSHIP:
- As a member of the management team, plans and implements agency objectives to support the mission, vision, values, and strategic direction.
- Develops and executes operational plans, including setting and monitoring performance indicators, ensuring the team meets established standards.
- Works collaboratively to develop program budgets, monitoring progress throughout the year and implementing corrective actions as needed.
- Chairs and coordinates team meetings to facilitate communication, problem-solving, and effective case management.
- Collaborates to prepare funding proposals and assist in securing resources for the team.
- Ensures team compliance with health and safety protocols, as well as gender-responsive and anti-oppressive operational standards.
- Develops, recommends, and implements new policies, procedures, and reporting systems.
- Coordinates training sessions and ensures all staff are properly oriented to the program’s expectations and duties.
- Oversees data management and ensures accurate reporting for program performance.
- Facilitates the ongoing review and development of the program’s philosophy, goals, measurable objectives, and policies.
- Attends and participates in agency-wide meetings to stay informed on strategic direction, share information, and collaborate across teams.
SUPERVISION AND STAFF SUPPORT:
- Supervises staff, including conducting interviews, performance evaluations, and directing staff orientation and training.
- Builds team morale and ensures smooth operations by identifying and resolving problems, fostering motivation, and ensuring staff development.
- Provides supervision, sets goals, and monitors progress to ensure standards are maintained in services.
- Provides leadership in crisis management situations, ensuring that staff apply de-escalation techniques and safety protocols effectively.
- Coordinates staff schedules, approves timesheets and expenses, and ensures accurate record-keeping of team activities.
CLIENT SUPPORT AND PROGRAMMING:
- Develops and evaluates new programs based on client needs, trends, and feedback, ensuring they meet organizational goals.
- Monitors case notes and reports, identifying issues, and taking corrective actions when necessary to ensure quality service delivery.
- Coordinates and manages any waitlists, ensuring clear communication regarding client status and timely updates.
- Ensures client records are accurate, confidential, and comply with privacy regulations.
COMMUNITY RELATIONS AND COLLABORATION:
- Establishes and maintains relations with government, funding bodies, institutional, and community representatives to advocate for clients and program sustainability.
- Develops partnerships with social service, criminal justice, and other agencies to enhance service delivery and provide holistic support for clients.
- Participates in internal and external committees to share information, resolve problems, and collaborate with others on program goals.
ADMINISTRATIVE AND COMPLIANCE:
- Maintains compliance with internal policies, regulatory requirements, and industry standards.
- Compiles data and prepares reports to assess program performance, impact, and outcomes.
- Corresponds with funders, supporters, and stakeholders to maintain transparency and ensure program sustainability.
- Supports budget reports for financial auditing.
QUALIFICATIONS & COMPETENCIES:
- Undergraduate Degree in Social Work, Social Service, Business or related field, or equivalent combination of education and experience.
- Minimum of 3 years’ experience in supervising and project management.
- Experience working in a Black-led organization or communities.
- Competent in using client information management software and reporting mechanisms.
- Experience in crisis management, de-escalation techniques, and providing support in challenging environments.
- Excellent interpersonal and communication skills, with the ability to work collaboratively and effectively with clients, staff, and external partners.
- Thorough familiarity and work experience with therapeutic methods and practices based upon strength-based model.
- Excellent communication, interpersonal, problem-solving, conflict resolution, crisis prevention/intervention, and analytical skills.
- Ability to utilize analytical, interpretive, evaluative, and constructive thinking.
- Excellent time-management skills and ability to multi-task and prioritize work.
- Ability to work collaboratively and independently.
- Experienced in addressing compassionate matters and maintaining confidentiality.
- Proficiency in MS Office (MS Word and MS Outlook, in particular); familiarity with email scheduling tools.
