Where You Will Be Working

Located in the heart of downtown Ottawa at our Contract Management Office (CMO) serves as the hub for corporate and contract management activities supporting operations across Canada's North. Why This Role

As an Operations Logistics Coordinator, you will play a critical role in ensuring the seamless movement of personnel, information, and resources that support our Northern Operations. Reporting to the Operations Manager, you will be the central point of coordination for rotational travel logistics while providing administrative and operational support to project teams across the organization.

What You'll Do
Travel & Logistics Coordination
  • Coordinate travel arrangements for rotational staff across Northern Operations, working closely with operational teams to ensure accurate and timely scheduling.
  • Partner with managers and employees to understand and accommodate travel requirements.
  • Arrange flights, accommodations, ground transportation, and other travel-related services.
  • Prepare and distribute detailed travel itineraries and travel documentation.
  • Act as the primary point of contact for travel disruptions, including delays, cancellations, itinerary changes, and emergency situations.
  • Monitor travel schedules and proactively identify potential issues, communicating solutions to stakeholders.
  • Liaise with the company's travel agency and internal stakeholders to support travel for training, conferences, trade shows, and other business activities.
  • Ensure all travel arrangements comply with corporate travel policies and procedures.
  • Support the administration and maintenance of employee rotation schedules.
Administrative & Operational Support
  • Provide day-to-day administrative support to Operational Leadership and project teams.
  • Assist with travel expense processing and related documentation.
  • Maintain accurate records, collect operational data, and track information required for compliance and reporting purposes.
  • Support continuous improvement initiatives by helping identify process enhancements and efficiencies.
  • Prepare reports, presentations, meeting materials, and other business documents as required.
Meetings, Events & Special Projects
  • Support the planning and coordination of meetings, conferences, and operational events.
  • Book meeting spaces, accommodations, catering, restaurants, and associated logistics.
  • Coordinate virtual meetings, video conferences, and team events.
  • Assist with travel coordination for the Summer Works Initiative (SWI) and other operational projects.
  • Contribute to special assignments and projects that support the overall success of the organization.

What You Bring

Education
  • High school diploma required.
  • Post-secondary education in Office Administration, Business Administration, or a related field is an asset.
  • An equivalent combination of education and experience will be considered.
Experience
  • Minimum two (2) years of experience coordinating travel, logistics, or administrative operations.
  • Experience supporting remote, rotational, or camp-based workforces is considered a strong asset.
  • Experience using Concur or similar travel and expense management systems is an asset.
Skills & Qualifications

You are a highly organized professional who can balance multiple priorities while maintaining exceptional attention to detail. You are comfortable working independently, collaborating with diverse teams, and responding effectively to changing priorities.

You also have:

  • Strong proficiency with Microsoft Office 365, including Outlook, Excel, Word, Teams, and SharePoint.
  • Knowledge of northern travel logistics and operational challenges.
  • Excellent organizational, planning, and multitasking abilities.
  • Strong customer service and stakeholder management skills.
  • Effective verbal and written communication skills.
  • The ability to work under pressure, manage tight deadlines, and respond to urgent situations.
  • Sound judgment, initiative, and problem-solving abilities.
  • The flexibility to occasionally support travel-related issues outside of regular business hours.
