Job description

Reporting to the Manager of Mutual Fund Operations, the Operations Lead, Mutual Funds is primarily responsible for technical knowledge (e.g., processes, policies) and staff development.

Responsibilities include:

  • Providing day-to-day technical support to staff in individual or group settings.
  • Serving as the first point of contact for complex cases.
  • Supporting department service standards and quality goals.
  • Managing technical and workflow aspects within the team.
  • Building strong internal and external relationships.
  • Collaborating across processing locations to ensure consistency in GWAM Retail Operations.

This role promotes continuous learning and development for the team.

A key success metric is the effective implementation of projects or process changes with measurable results.

Key Accountabilities:

  • Overseeing daily department operations, task delegation, and providing timely updates to the Manager.
  • Motivating and leading the team to meet service standards within budget.
  • Providing leadership, coaching, and support to staff.
  • Ensuring staff have necessary training and tools.
  • Maintaining collaborative relationships with business partners.
  • Handling sensitive information with confidentiality and judgment.
  • Participating in strategic development and implementing changes.
  • Providing backup to the Manager when needed.
  • Engaging in projects, initiatives, and workshops.
  • Recommending solutions to improve operational effectiveness and minimize service impacts.
  • Monitoring processing controls and staff adherence to processes.
  • Collecting and sharing productivity and quality metrics.
  • Supporting risk functions such as audits, compliance testing, and incident analysis.

Job Requirements (Knowledge, Skills & Competencies):

  • 3-5 years of experience in mutual funds, compliance, or related fields.
  • Bachelor's degree preferred in Business, Finance, Economics, or related fields.
  • Strong leadership, motivation, and team development skills.
  • Analytical, problem-solving, decision-making, and conflict resolution skills.
  • Excellent customer service and interpersonal skills.
  • Ability to influence and negotiate effectively.
  • Experience working across cultures and geographies.
  • Proficiency in management tools and systems.
  • Excellent organization and time management skills.
  • Problem ownership and timely decision-making.

  • Relevant experience in Fund Operations, Securities, or Wealth Management.

  • Advanced MS Office skills and experience with enterprise planning tools like Power BI.

The successful candidate will be bilingual in English and French to support clients from various jurisdictions outside Quebec.
