We are looking for a proactive and highly organized Operations Lead-GSES to provide critical operational support to the GSES team. You will be a central resource in coordinating contract-related workflows and ensuring smooth execution of processes across the contractor lifecycle.
The Ops Lead -GSES is expected to master the team’s business processes, proactively identify and resolve issues, and escalate roadblocks when necessary to maintain efficiency and compliance. You will build strong relationships with our internal clients (Project Delivery Teams, Account Executives, Resourcing, and Finance Operations teams). This is a pivotal support role that requires attention to detail, strong collaboration skills, and a solution-oriented mindset.
Key Responsibilities:
- Provide day-to-day operational and administrative support to Contract Administrators, Contractor Coordinators, and Recruiters.
- Act as a key liaison between multiple internal teams (Project Delivery, Resourcing, Legal, Finance) to ensure contract-related workflows are completed accurately and on time.
- Assign new Contractor Recruitment Requests to recruiters.
- Support the Global External Services VP with reporting and process monitoring as needed.
- Master the business processes and systems used by the contractor management team; ensure adherence to policies, timelines, and quality standards.
- Monitor contractor onboarding/offboarding activities and support related documentation and coordination.
- Provide support to track contract status, key dates, deliverables, and compliance milestones across systems and dashboards.
- Identify and remove operational roadblocks to keep contract processes running smoothly.
- Proactively escalate issues, delays, or risks to stakeholders, including senior leadership, when necessary.
- Assist in refining and improving internal procedures, workflows, and tools to enhance efficiency and consistency.
- Support the preparation of audits, compliance documentation, and regular reporting.
- Although it is a senior role, the Senior Contract Coordinator will also handle tasks such as contract preparation, onboarding/offboarding, and creating contractor profiles when needed.
- Collaborate with the Global HR Operations team to ensure onboarding and offboarding data compliance.
- Serve as an advisor to internal stakeholders on recruitment and contract topics.
- Participate in and prepare for global projects related to system efficiencies and implementations.
Qualifications:
- Bachelor’s degree or equivalent work experience in Business Administration, Legal Studies, Human Resources, or a related field.
- 5+ years of experience in contract coordination, professional services operations, or related administrative support roles, preferably in recruitment or an agency setting.
- Deep understanding of the full contract recruitment lifecycle, including sourcing, onboarding, performance management, and offboarding.
- Proven ability to work with cross-functional teams and support senior leadership.
- Proficient in Microsoft Office (Excel, Word, Outlook); experience with contract or vendor management tools is a plus.
- Bilingual skills are a plus (French and English), but English proficiency is required.
