Mahoe Mental Health Services Ltd. is a dynamic, Ontario-based mental health organization committed to providing accessible, high-quality individualized mental health and addiction support.

We are expanding our services to open primary health clinics in Ontario and are looking for an Operations/HR Lead to manage the administrative functions of the company.

This role will be instrumental in shaping and scaling Mahoe Mental Health Services. The successful candidate will be responsible for building the company’s operational and HR infrastructure from scratch, ensuring excellent service delivery, team performance, and organizational growth.

The ideal candidate will have strong managerial and organizational skills and a deep commitment to transforming mental health care through technology and inclusivity.

Key Responsibilities
  • Operations Management in a Medical Management Service Organization (MSO)
  • Design and build the operational infrastructure of a growing mental health organization, including systems, workflows, and internal processes.
  • Lead and optimize daily operations across digital and in-person services, ensuring seamless coordination and service delivery.
  • Previous supervisory experience in a dental office, hospital, or medical office setting is required.
  • Engage with key health system stakeholders, including overseeing engagement with Ontario Health for quality improvement activities.
  • Develop and implement standard operating procedures (SOPs), internal documentation, and scalable systems using Microsoft 365 tools.
  • Oversee billing and payroll administration, ensuring accuracy and compliance.
  • Support marketing and communication strategies, including digital campaigns and internal messaging.
  • Establish and monitor operational KPIs to drive performance and continuous improvement.
  • Ensure compliance with Canadian healthcare regulations such as PHIPA and PIPEDA.
  • Manage vendor relationships and digital tools supporting virtual care and operations.
  • Lead cross-functional teams, ensuring accountability and collaboration.
  • Apply managerial and organizational skills to prioritize tasks and maintain efficiency.
  • Build and lead the HR function, including recruitment, onboarding, performance management, and offboarding.
  • Ensure compliance with Canadian labour laws and employment standards.
  • Develop HR policies, employee handbooks, and training programs.
  • Foster a positive, inclusive, and high-performance hybrid work culture.
  • Champion employee engagement and professional development initiatives.
Strategic Growth & Leadership
  • Collaborate with leadership to develop and execute strategic expansion plans.
  • Implement operational efficiencies and scalable systems for sustainable growth.
  • Enhance client and clinician experiences across digital and in-person touchpoints.
  • Advise on organizational development, change management, and long-term planning.
  • Align the company’s vision, mission, and culture with strategic goals.
Qualifications
  • Bachelor’s degree in Business Operations Management, Healthcare Management, Human Resources, or related field (Master’s preferred).
  • Minimum 5 years of progressive healthcare management experience, including operations and HR leadership.
  • At least 3 years managing complex teams and projects in dynamic environments.
  • Experience building and scaling operations in startups or early-stage organizations.
  • Strong understanding of Canadian employment law and HR best practices.
  • Experience managing hybrid or remote teams and digital health operations.
  • Proficiency with EHRs, HRIS, and Microsoft 365 tools.
  • Excellent leadership, communication, and problem-solving skills.
  • Knowledge of medical terminology and electronic medical records (e.g., Accuro, Telus Health).
  • Experience with healthcare data governance and analysis is an asset.
  • Experience with grant funding and management is an asset.
  • Self-driven, adaptable, and able to thrive in a fast-paced, mission-driven environment.
