Job Title: Operations Coordinator/Office Manager

Position Overview

We’re looking for a proactive and detail-oriented OperationsCoordinator/ Office Managerto support our goals of improving operational excellence across the organization. This full-time, hybrid role (1 day a week remote)—based in our Montreal office—plays a vital part in working with the Governance and Operations manager to help implement cross-functional initiatives, improve and document internal systems and processes, and provide support services towards facilitating the smooth running of office operations.

Key Responsibilities

Operational Improvements & Tool Enhancement

  • Work closely with the Governance and Operations Manager to identify, implement, and support tools that enhance organizational and operational effectiveness.
  • Assist in executing cross-functional initiatives, such as:
  • The organization-wide rollout and adoption of Microsoft Teams Phone.
  • Ongoing support and optimization of Monday.com as a project management tool.
  • Engage with staff and stakeholders to review and document existing business processes, identify operational challenges and recommend improvements to Manager based on user needs.
  • Develop clear, user-friendly Standard Operating Procedures (SOPs) and internal guidelines.
  • Maintain and regularly update the organization’s strategic and operational project plans. Utilizing KPIs in the creation of dashboards, and reporting tools to support decision-making.
  • Provide administrative support for operational projects, including managing document version control, creating presentation decks, and maintaining shared resources.
  • Manage document libraries and Basecamp Groups for the four Governance Committees, ensuring versions are up-to-date
  • Assist in onboarding new employees by coordinating documentation, tool access, and introductory logistics.

Office Management

  • Oversee day-to-day office operations, including supply procurement, arranging for equipment maintenance, and vendor coordination.
  • Manage the magazine returns process and provide general support for office systems and tools.
  • Coordinate travel logistics for staff and guests, including booking flights, accommodations, and other related arrangements.
  • Coordinate mailing and courier services.

Qualifications

  • 2+ years of experience in project coordination, office management, or related roles
  • Strong organizational and communication skills with
  • Experience in customer service
  • Proven ability to manage multiple tasks and work collaboratively across departments.
  • Familiarity with digital tools and platforms that support operational improvement.
  • Proficient in Microsoft Office Suite; experience with AMS or CRM systems is an asset.
  • Fluency in both English and French.
