ABOUT YOUR NEW ROLE

As Operations Coordinator, you will play a key role in facilitating the flow of product and ensuring inventory accuracy across our third-party logistics (3PL) network. This position serves as a central point of coordination between internal teams and external partners to support day-to-day operational requirements. Working as part of the HQ Logistics & Distribution team, you will collaborate cross-functionally with departments including Sales, Ecommerce, Product, Marketing, Retail, and Finance to support both domestic and international logistics objectives, procedures, and reporting activities. Reporting to the Manager, Distribution, this position is based at our Vancouver HQ.

A DAY IN THE LIFE

On a day-to-day basis, the OC will:

  • Maintain and update shipment tracking documentation, ensuring all logistics records are well-organized, accurate, and easily accessible.
  • Provide timely updates to the Sales Operations team regarding key developments such as shipment timelines, inventory shortages or overages, and other critical changes.
  • Partner with local and global operations teams, as well as international warehouse partners, to ensure prompt receipt of inbound shipments and clear communication of related details.
  • Identify and resolve inventory-related issues promptly, liaising with Operations, Product, and Global 3PL teams as needed.
  • Support inventory management activities across all locations, including North American and international warehouses - inclusive of year-end physical inventory & cycle count processes.
  • Oversee the accuracy of inbound receiving and inventory transactions, working with internal stakeholders and external partners to investigate and reconcile discrepancies.
  • Accurately execute receipt, adjustment, and stock transfer transactions within ERP as needed.
  • Support the management of logistics activities for Salesman Samples, coordinating efforts between Product, Sales, and Factory teams to deliver samples to sales reps and partners.
  • Support e-commerce operations by reviewing and resolving order issues in the ERP as needed.
  • Proactively identify and implement process improvements to enhance operational efficiency and support customer service excellence.
  • Collaborate effectively with cross-functional teams within the broader Operations department.

ABOUT YOU

  • Previous experience in Operations or a relevant supply chain role is an asset.
  • Post-secondary degree or diploma preferred (logistics/supply chain management related).
  • Enterprise Resource Planning (ERP), Sales platform (B2B, Shopify), Warehouse Management (WMS) experience is an asset.
  • Intermediate knowledge of MS Excel required.
  • Excellent oral and written communication skills.
  • Ability to locate and organize key data into streamlined and informative reports for internal and external parties.
  • Strong, problem-solving, organizational and analytical skills; ability to work effectively under time constraints and deliver results by critical deadlines.
  • Must be highly detail oriented with the ability to fulfill responsibilities with minimal supervision.
  • Ability to work in a collaborative team-based environment.
