Job description

Venor is proud to partner with Laura Gatien & Associates in their search for an Operations Coordinator.

Laura Gatien & Associates is a growing counselling practice dedicated to providing accessible, client-focused mental health support. What started as a solo practice 8 years ago has grown to nearly 40 associates delivering 23,000+ sessions a year across Saint John and Fredericton and virtually Canada-wide. We’re proud of that growth, and we take seriously the responsibility that comes with it.

The Problem We’re Solving:

Running a 40-person clinical practice across two cities is genuinely complex, and we’ve been growing faster than our systems have. We need someone whose job it is to hold the core functions of this business together and help us get ahead of problems before they become fires. This role sits at the intersection of people, finance, and operations, and it touches everything. For the right person, that’s not overwhelming. It’s the whole point. You’ll report to our Director of Operations and receive direct mentorship from our CFO, building a real understanding of how a growing business runs from the inside out.

Here’s where you’ll come in:

People Operations
  • Own onboarding and offboarding for new associates, including contracts, benefits setup, and ensuring clients experience continuity of care during transitions
  • Develop & support delivery of a structured therapist & employee orientation that sets clear expectations, builds confidence, and equips them with the tools needed to succeed from day one.
  • Support recruitment and hiring as we continue to grow
  • Keep internal communications flowing and scheduling running smoothly across a large, flexible team
  • Coordinate team lunches and the small moments that keep our culture intact
Financial Operations
  • Manage the full month-end cycle, including bookkeeping entries, bank and credit card reconciliations, and ensuring financial statements are ready for management review.
  • Run payroll for all staff and associates, process profit-sharing distributions, and handle accounts payable.
  • Track and reconcile expenses using Hubdoc and Plooto, and prepare revenue and compensation reports monthly.
  • Be the first point of contact for financial questions from the team, keeping things accurate, timely, and running smoothly.
Business Operations
  • Make sure our offices feel like the warm, welcoming spaces our clients and therapists deserve
  • Stay on top of supplies and facilities across both locations
  • Manage software accounts and keep our client portal accurate
  • Constantly ask whether there’s a better way and then go build it
Who You Are
  • You don’t need to be told what to do next. You’re self-directed and resourceful.
  • You care about the small details in a way some people might call obnoxious. We call it essential.
  • You see a broken process and genuinely can’t let it go
  • You’re equally comfortable executing today’s to-do list and stepping back to ask why the list exists in the first place
  • You stay calm and organized when things get complicated, and sometimes they will
  • You handle sensitive information like payroll, contracts, and personal details with discretion and professionalism as a matter of course

At Venor and Laura Gatien & Associates, we foster a culture of belonging. We encourage applications from 2SLGBTQ+, Black, Indigenous, and People of Colour (BIPOC), women, newcomers to Canada, and individuals with disabilities. We value the unique perspectives and experiences that a diverse workforce brings to our practice.
