Job summary

Canada Life in London, Ontario is seeking an Operations Coordinator to manage daily administrative tasks and ensure high service levels for FSC clients. You will be the first contact at reception, handle mail, provide office support, and schedule meetings with Financial Service Representatives.

Ideal candidates bring Operations/Sales Support experience in financial services, post-secondary education, and strong communication.

Qualifications

  • Bilingualism (French and English) is an asset.
  • Experience in Operations or Sales Support within Financial Services or Insurance.
  • Post-secondary education required.
  • IFIC Mutual Fund or Canadian Securities Course and/or LLQP licensing is an asset.
  • Salesforce and OnBase knowledge considered an asset.
  • Strong organizational and multitasking abilities.
  • Ability to work under pressure and meet deadlines.

Responsibilities

  • First point of contact for customers at reception and via email/mail; triage requests.
  • Provide outgoing mail and courier support to the FSC.
  • Provide general in-office and business support to the FSC.
  • Schedule client meetings with FSC Financial Service Representatives.
  • Welcome calls to new mutual fund clients.
  • Perform mail merges and file transfers for new clients.
  • Provide administrative support to local team and office operations.
  • Prepare basic management reports as required.
  • Support servicing activities, update client accounts, and process requests.
  • Support compliance measures and assist sales with activity management.
  • Contribute to executing business plans.

We are hiring an Operations Coordinator in London, Ontario.

Reporting to the Sales Support Manager, Financial Solutions Centre (FSC), the Operations Coordinator role ensures all regular daily administrative functions are accomplished to meet a high service level for FSC clients.

What you will do:

  • First point of contact for business with customers at reception through general email, Canada Post mail and courier; triage incoming requests
  • Provide outgoing mail & courier support to the FSC
  • Provide general in-office support and business support to the FSC (Multi-Functional Devices, supplies, troubleshooting, forms, inquiries, etc.)
  • Schedule client meetings with FSC Financial Service Representatives (FSR’s)
  • Welcome calls to new mutual fund clients
  • Perform periodic mail merges and file transfers to support new clients to the FSC
  • Provides administrative support duties to local team, including general office and premise responsibilities
  • Perform basic reporting for management and team as required
  • Share ideas in the spirit of continuous improvement and input into initiatives
  • Provide support of servicing activities for client accounts, including updating account information, assigning financial and non-financial requests, quality control, responding to service requests, follow up and adjustments.
  • Support office compliance measures as required
  • Proactively support sales with activity management and supporting key sales functions within the sales roles
  • Support the execution of business plans

What you will bring:

  • Bilingualism (French and English) is considered an asset
  • Operations or Sales Support related experience within Financial Services or Insurance Industry
  • Post-secondary education required
  • IFIC Mutual Fund or Canadian Securities Course and/or LLQP Insurance licensing is considered an asset
  • Salesforce and OnBase knowledge considered an asset
  • Understanding the operation of a sales organization
  • Critical thinking skills with an aptitude for new ways of working
  • Skilled at building strong, collaborative relationships with multiple business partners across the region and country
  • Strong passion for working in a high performance, fast-paced sales environment
  • Ability to work well within a diverse team environment as well as a strong ability to work well independently

The base salary for this position is between $36,900 - $49,800 annually. This represents base salary only and does not represent other variable compensation components of our total compensation ( i.e. annual bonus, commission etc).
