About the Role:

Reporting to the Chair, Department of Digital Humanities, the Operations Coordinator provides a broad range of administrative support, coordination, and program support to ensure efficient day-to-day operation of the Department. The incumbent further functions as the information resource person and liaison between faculty, staff, students, and other University units to ensure the academic mission of the Department is met.

T he Operations Coordinator will:

  • Provide administrative support to the Chair and relevant Program Directors, faculty, staff, and students, including correspondence, scheduling and daily operations;

  • Assist the Chair and Program Directors in providing reminders of important upcoming deadlines (e.g., course collection due dates, budget deadlines, final grade submissions) and provide information regarding daily administration, issues, updated policies and scheduling updates/ or concerns;

  • Coordinate onboarding for new personnel, including office setup, keys, email accounts, and access cards;

  • Initiate and coordinate collection of course information from Chair to prepare academic timetable for the Registrar’s Office for undergraduate and graduate programs;

  • Liaise with Registrar's Office regarding deadlines for course composition forms, examination information, examinations, and calendar submissions;

  • Organize and process job postings and contracts (for Teaching Assistants, Marker/Graders, Course Coordinators, etc.);

  • Generate and process contracts and timesheet authorizations for CUPE 4207 members, post doctorate staff, summer research students, and researchers;

  • Collect CUPE 4207 Allocation of Hours forms and prepare job postings on Brock’s online system;

  • Organize departmental events, retreats, workshops, and seminar series, including logistics and communications;

  • Coordinate and attend departmental meetings, take minutes, and circulate minutes to appropriate parties after meetings;

  • In coordination with Departmental Budget Officer, initiate and assist with annual budget preparation using information from Chair, faculty and staff; assist the Chair with inputting annual budget into the system;

  • Prepare financial transactions such as purchase orders, cheque requisitions, deposits, transfers, and wire payments;

  • Serve as the information source for all departmental, procedures pertaining to finance.

Key S kills and Experience :

  • Post-secondary courses including computer applications, office administration, or related courses or the equivalent combination of education and experience ;

  • Experience in an administrative support role ;

  • Superlative client service abilities, with a high degree of care and compassion;

  • Strong planning and organizational skills;

  • Solid computer competency including word processing, spreadsheet, database, Power BI, web applications and web maintenance, social media, internet search engines, graphics, and scheduling software;

  • Ability to maintain accurate records, including financial record keeping;

  • Excellent oral and written communication, listening and comprehension skills ;

  • Superior interpersonal skills including tact, discretion, and confidentiality;

  • Ability to interact with persons from diverse backgrounds;

  • Ability to work independently in a supportive and collaborative manner, and as part of a team;

  • Strong customer service skills .

Preferred or Asset Skill s:

  • Experience in a University environment ;

  • Experience with Workday (Finance and HR), Adaptive Planning system, DB BROCK, and Brock Portal.

Salary and Total Rewards:

  • Job Grade [ I ] , Salary Scale ( $ 52,093 - $84,476 );

  • Target Hiring Range: $ 52,093 - $68,000*

  • T his is a permanent position that includes :

  • Pension Plan: Enrollment eligibility in the Brock University Pension Plan.

  • Vacation: Up to 3 weeks per year, in addition to university holidays.

* The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
