Operations Associate | Corporate Events

FULL-TIME|REMOTE/ONSITE FOR EVENTS | TORONTO

The Idea Hunter is an award-winning corporate event planning agency based in Toronto with over 22 years of experience producing unforgettable experiences. Known for our trendsetting approach, we constantly evolve to stay ahead of the curve in the events industry. Our client roster spans Fortune 500 giants to high-growth startups, including brands like the Toronto Blue Jays, MLSE, and Sun Life, each trusting us to bring their events to life in bold and creative ways.

While we are best known for our entertainment and interactive experiences, we also produce full-scale events from concept to execution. That means no two days are the same, and every project offers something new, whether it's a brand launch, executive retreat, virtual tournament, or high-impact social activation.

In this role, you will be the operational lead turning signed contracts into seamlessly executed live, hybrid, and virtual events. Reporting to the President, you will manage 10 to 20 programs per month, from single evening activations to multi-day corporate retreats, overseeing vendors, timelines, logistics, design assets, and budgets end to end.

Expect weeknight/weekend travel inside the GTA and occasional overnight stays at retreat venues (roughly 20–25 nights per year). This role requires schedule flexibility for evenings, weekends, and travel.

What You’ll Be Doing
Event Onboarding & Client Care
  • Lead the client handoff process from sales, reviewing scope and aligning next steps.
  • Maintain Capsule CRM with all project milestones and communication.
  • Send proactive client updates throughout the event lifecycle.
Vendor, Logistics & Design Coordination
  • Co-ordinate entertainment, AV, décor, F&B, and venue services.
  • Develop runs-of-show, technical scripts, and on-site logistics plans.
  • Create supporting design assets for presentations, signage, and event collateral.
  • Produce 3D floorplans and layouts using Vectorworks (or equivalent software).
  • Manage shipping, receiving, and inventory for event-related materials.
Corporate Retreat Management
  • Plan and execute retreats across Ontario for teams of 20–100+.
  • Manage accommodations, meals, team-building activities, transportation, and excursions.
  • Act as primary on-site contact ensuring flawless client experiences.
On-Site & Virtual Execution
  • Serve as floor captain, supervising load-in, rehearsals, cueing, and strike.
  • Manage AV, décor, talent, and vendor teams on-site.
  • Operate basic streaming tech for webinars or hybrid events.
Post-Event Wrap & Analytics
  • Collect client and vendor feedback, logging insights for continual improvement.
  • Produce post-event recaps highlighting wins and lessons learned.
  • Request Google Reviews from clients, supporting online reputation growth.
What Makes You a Fit
Must-Have
  • 4–6 years of experience infull-cycle corporate event management(live, hybrid, and virtual).
  • Proven track record overseeing vendors and budgets up to $250K.
  • Strong Excel/Google Sheets skills for project management.
  • 2D Floor planning experience (Program like Prism)
  • Valid driver’s licence & passport; willingness to travel evenings/weekends.
Nice to Have
  • Project management (PMP) designation in progress.
  • Experience with hybrid event platforms (Hopin, Streamyard, or equivalent).
  • 3D floor planning experiencewith software such as Vectorworks.
  • Graphic design proficiency(Adobe Creative Suite or Canva).
